The Scheduling Coordinator/Planner acts as a liaison between the operating departments. They handle all payroll related, post schedule changes, PTO approvals and scheduled switches. They are also responsible for accurately recording and tracking FMLA, department policy infractions, exception assignments as well as producing and tracking documentation for performance feedback. The Scheduling coordinator works directly with employees providing resolutions to schedule and payroll issues. They oversee the handling of all time adjustments up to the issuance to payroll for processing. The Scheduling Coordinator serves in a Client Manager capacity for the departments they oversee, providing support within the Centralized scheduling structure when necessary. Scheduling Coordinators are also responsible for overseeing the ordering needs of the department. Preparing various reports that allow for proper tracking and monitoring of supplies as well as received orders. The Scheduling Coordinator provides direct assistance to departments when related to the GEMBA board information. Scheduling Coordinators make use of all applications available to track and properly record information related to departments as well as employees. The maintain employee folders both electronically as well as paper based. They help to coordinate efforts between other departments such as Human Resources, Compliance, Payroll and Compliance
ESSENTIAL JOB FUNCTIONS:
- Responsible for optimizing and creating weekly department schedules aligning labor to department volume.
- Tracks department productivity daily; makes staffing recommendations to departments.
- Observes departments to understand business volumes and staffing needs/opportunities.
- Assists the Scheduling Manager in all scheduling and administrative responsibilities for the assigned areas of the Property/ Region.
- Approves and corrects time, monitors daily departmental time reports, adjusts job/department codes as necessary.
- Performs PTO, LOA, Attendance, Payroll, FMLA and other administrative support duties. Return phone calls and inquiries within the same day.
- Provides superior internal service to all operators and team members in a helpful and responsive manner.
- Creates a welcoming and responsive environment for all team members.
- Assists the Scheduling Manager on any special assignments, such as in-house training, reporting, or other administration.
- Must be able to work weekends and holidays (including: Thursday, Friday, Saturday, and Sunday at night).
- Consistently exhibits an upbeat and positive attitude at all times.
- Exhibits strong communication skills; including public speaking.
- Provides customer feedback and suggestions to individual departments as well as to the Customer Service Department on a regular basis.
- Is responsible for employee contact and interfacing with employees; letter, person and by telephone.
- Conveys policies and procedures related to department and Centralized Scheduling practices
- Adhere to regulatory, departmental, and company policies in an ethical manner and is an outstanding example of what customer service looks like.
Physical, Mental, and Environmental Demands:
- Must be able to maneuver to all area of the casino, including in and around pit areas.
- Must be able to bend, stoop, reach, kneel, twist and grip items when necessary.
- Must be able to stand/ walk for extended periods of time.
- Must be able to lift up to 25 pounds.
- Must be able to use a computer: Microsoft Word, Excel, and Power Point.
- Must be able to read, write, and understand English.
- Must be able to 10 key and be proficient in typing skills
