The HRIS and Onboarding Specialist will be responsible for the end-to-end management of onboarding and offboarding processes, including HRIS system administration, overseeing I-9 compliance, and conducting new hire orientation. This role ensures the accuracy and integrity of employee data, provides technical support to HR staff and employees, and assists with reporting and data analysis needs. The HRIS Specialist will also collaborate with HR and IT teams to implement system upgrades, troubleshoot issues, and optimize HR processes through automation and system enhancements.

- Maintain and update employee data within the HRIS, ensuring all information is accurate and up to date.
- Serve as the primary point of contact for HRIS-related questions, troubleshooting issues, and providing user support to employees and HR staff.
- Configure and administer HR modules such as employee records.
- Monitor system performance and address any system-related issues to minimize downtime and disruptions.
- Manage the end-to-end onboarding process, including new hire data entry, background check tracking, and coordinating with stakeholders to ensure readiness on the first day.
- Conduct engaging and informative new hire orientation sessions, both in-person and virtually, to integrate employees into the organization effectively.
- Oversee I-9 compliance and maintain related documentation to ensure adherence to federal regulations.
- Partner with hiring managers and IT to ensure new hires have all necessary tools and access.
- Manage offboarding processes, including deactivating employee access in HRIS, coordinating final pay, and collecting company property.
- Ensure data integrity by conducting regular audits of the HRIS, and electronic employee files to identify and correct errors or inconsistencies.
- Implement best practices for data management and ensure compliance with company policies and legal requirements.
- Maintain confidentiality of sensitive employee information in compliance with data privacy laws.
- Maintain accurate and up-to-date employee records in HR Information Systems.
- Develop and generate custom reports, dashboards, and metrics for HR leadership to support data-driven decision-making.
- Assist in responding to audit requests and ensure timely submission of data reports for internal and external stakeholders.
- Collaborate with HR and third-party vendors to implement system upgrades, patches, and enhancements.
- Lead or support HRIS-related projects, including system implementations, upgrades, and process improvements.
- Identify opportunities for system optimization, automation, and improving user experience.
- Train HR team members and employees on new functionalities and enhancements within the HRIS.
- Ensure the HRIS complies with relevant labor laws, company policies, and data security regulations.
- Document HRIS processes, procedures, and system configurations to ensure knowledge transfer and support continuity.
- Assist in reviewing and updating HR policies to ensure they are reflected accurately in the system.
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 2 years of experience in HRIS administration or a similar role.
- Strong technical knowledge of HRIS platforms (e.g., Paychex, Oracle Fusion-HCM, or similar).
- Proficient in HR data management, including data entry, reporting, and analytics.
- Excellent problem-solving skills and the ability to troubleshoot system issues.
- Strong attention to detail and ability to maintain a high level of data accuracy.
- Solid understanding of HR processes and employment regulations.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and experience with report generation.
- Experience with system upgrades, implementations, or project management in an HRIS environment.
- HR-related certifications (PHR, SHRM-CP) or HRIS certifications are a plus.
- Familiarity with data privacy laws and regulations (e.g., GDPR, CCPA).
