Summary:
The Assistant Director is responsible for the success of the Grants Management team, which oversees training, protocols, foreign funding regulatory monitoring, cross-functional projects, and grantmaking operations for the Grant Services department. This role is intended to serve as an operational bridge across all of the department’s grantmaking and knowledge functions, in addition to providing significant cross-functional educational and project support for CAF America’s externally facing teams. In addition to these activities, the Assistant Director will play a central role in strategic decision making for the Grant Services department, including taking an active role in capacity planning, budget planning, and project management.
In order to ensure consistent grantmaking operations and regulatory compliance, this role will require a deep understanding of CAF America’s grantmaking mechanisms (including Expenditure Responsibility and Equivalency Determination), foreign funding requirements, DAF regulations, and internal/external relationship management.
Duties and Responsibilities:
- Provides management and leadership to the Grants Management team, including goal setting, performance management, and hiring.
- Monitoring and reporting to the VP, Executive Team, and Board on department level outcomes and performance, including validation timelines, capacity changes needed, success against department KPIs, etc.
- Liaises with CAF America’s externally facing teams to develop future planning models, develop KPIs, and ensure donor satisfaction with CAF America’s grantmaking and due diligence processes
- Ensures the execution of the Grants Management team’s essential functions through team planning, coordination, and collaboration. These essential functions include the following workstreams: education and protocol management, foreign funding regulatory monitoring, grantmaking operations, cross-functional projects and strategic decisioning
- Responsible for the delivery of cross-functional projects, as designated by the Vice President, Grant Services. Manages and prioritizes all Grant Services department cross-functional projects in collaboration with the Technology and Transformation department. Leads cross-functional activities designed to improve operational efficiency, including collaboration with the technology team, implementation of process changes, and change management support (including coordinating those serving as business leads and SMEs, where relevant).
- In collaboration with the Vice President, Grant Services, executes strategic planning for new staff training, socialization of protocols and process changes, and ongoing education for Grant Services team members
- Engages with support staff to ensure ongoing monitoring, reporting, and protocol changes related to foreign funding regulatory requirements. Maintains regular reporting to the Vice President, Grant Services on foreign funding regulatory requirements and relevant changes.
- Supports the execution of all grantee reporting operations in collaboration with support staff. Monitors and reports on all KPIs related to grantee reporting compliance functions.
- Oversees the execution of CAF America’s expedite grantmaking program, including the maintenance of relationships with expedite partners, upward reporting on program KPIs, and onboarding of new partners
- Analyzes and reports on forecasting data in collaboration with the Grant Services Assistant Directors, Donor Services, and Business Development, including capacity analysis, and department budget planning
