Position Summary Information

Job Description Summary
The Accounting Analyst will provide accounting support to Campus Dining. Under the general supervision of the Assistant Director-Finance, Campus Dining (ADF), the Accounting Analyst is responsible for performing tasks and functions related to sales reporting, third-party and franchise sales close-outs, accounts receivable, journal entry preparation, account reconciliations, financial audits, and report preparation and analysis. Represent Campus Dining and assist customers, staff and affiliates. Annual duties include assisting with the Campus Dining budget development.

Minimum Qualifications
  • Sales Reporting – Prepare daily, weekly and monthly sales reports for management. Process sales reporting and journal entries to general ledger. Reconcile and audit sales transactions between systems, from initial register sales reports to final cash receipts. Reconcile monthly sales on financial statements to sales reports. Maintain an effective sales transaction management system to ensure effective internal controls are in place and assist in training staff regarding internal controls and procedures. Perform sales tax analysis, tests and audits.
  • Third-party sales close-outs – Manage sales close-outs and reporting with third-party affiliates and franchises, including processing weekly close-out checks, commission charges, royalty payments, reporting and reconciliations. Maintain contract files and ensure compliance.
  • Accounts receivable – Manage Campus Dining accounts receivable, including set-up and maintenance of customer accounts, preparing invoices and contracts, analyzing accounts, processing adjustments, journal entries, and account collections. Reconcile receivable balances with university affiliates. Train staff on billing process for catering sales and department purchases.
  • Journal Entries and Account reconciliations – Prepare journal entries and perform monthly account reconciliations. Review and audit accounting transactions to ensure accuracy in financial reporting and compliance with GAAP. Prepare correcting journal entries, reclassifications and other activity as necessary.
  • Financial Audits – Assist in performing annual fixed asset and inventory internal audit. Prepare documentation for external audit requests. Perform periodic petty cash audits.
  • Report preparation and analysis – Prepare financial reports and perform analysis in Excel as needed. Assist in documenting and updating accounting policies and procedures. Review contracts, memorandums of understanding, and other agreements to ensure compliance.
  • Assist customers and affiliates – Represent Campus Dining and assist customers, staff and affiliates in-person, over the phone and in email.
  • Assist budget development – Assist in annual budget development, including compiling historical financial data and preparing financial reports and analysis.
  • Participate in the design, prototyping and implementation phases of new systems and system upgrades and maintenance, and timesaving processes, including identifying issues and problem resolution.
  • Advise management in procedures and processes including interpretation of financial data produced by the various systems.
  • Perform other duties and special projects as assigned

Typical Essential Functions
  • Two years related work experience in accounting , including GL analysis, journal entries, accounts payable & receivable
  • Knowledge of preparation of accounting reconciliations
  • Knowledge of retail accounting and/or institutional food service desirable
  • Proficient in Microsoft Office programs, including Excel, Word, Adobe and SharePoint. Advanced ability in Excel preferred.
  • Working knowledge of computer principles to include the ability to communicate technical information, orally and in writing
  • Ability to learn quickly, troubleshoot and find solutions, conduct independent studies, and to prepare comprehensive reports
  • Possess strong organizational skills including attention to detail and managing multiple responsibilities, prioritizing and meeting deadlines
  • Ability to analyze financial reports, audit documents and transactions in compliance with GAAP
  • Proven ability to work with varied working styles and personalities and work cooperatively within a team environment
  • Ability to maintain confidentiality
  • Ability to maintain regular and reliable attendance, work in office
  • A background check is required for all regular benefited positions
  • The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment
