Job Summary:
Calcmatics is seeking Registrar Assistant to support the Department of the Air Force, Air Education and Training Command (AETC) Medical Education and Training Campus (METC) Initiative. Registrar Assistants will manage student academic records and perform administrative functions, ensuring the accuracy and integrity of records for METC’s multi-service training programs. They will ensure that data management systems, such as Army Training Requirements and Resources System (ATRRS) and Student Management Registrar Tool (SMART), are promptly updated to reflect student progress. Registrar Assistants facilitate seamless registrar operations and ensure compliance with security and regulatory standards, supporting METC’s mission to train and graduate skilled service members.
Responsibilities:
- Process enrollments, graduations, and student record updates in ATRRS and SMART systems.
- Review and organize digital and paper files, ensuring proper documentation and signatures.
- Monitor and process METC01 forms in the Registrar Drop Box at least three times daily, maintaining accurate student accountability.
- Prepare and issue class start and graduation rosters, certificates, and training verifications within specified timeframes.
- Support the development and maintenance of SOPs, training guides, and process documentation to improve registrar operations.
- Conduct daily interactions with METC staff to ensure accurate recordkeeping and compliance with Privacy Act guidelines.
- Track and resolve issues related to hanging histories and error codes in student records.
Qualifications
- Education: High School diploma (associate degree preferred).
- Experience: Minimum of 3 years in records management or administrative support.
- Skills: Strong attention to detail, organizational abilities, and familiarity with academic record systems.
