Summary
Under the direction of the deputy director and executive director, the records specialist is responsible for the research and entry of warrants, personal protection orders, abandoned vehicles, conditional release orders, anti-stalking orders and other Law Enforcement Information Network (LEIN) work. This position also performs a variety of administrative and customer service tasks, including answering phones, greeting the public, ordering office supplies, delivering and picking up mail along with other routine general office duties.

Essential Duties and Responsibilities
  • Accurately research valid information and enter data into LEIN/NCIC systems including: Warrants, Personal Protection Orders, Conditional Release Orders, Sex Offender Registrations, Injunctive Orders, Abandoned Vehicles, and other people and/or property.
  • Researches and fulfills data requests, to include gathering recordings and other documents for the official business of the agencies we serve, subpoenas, and Freedom of Information Act (FOIA) requests.
  • Serve as a liaison with the courts and law enforcement agencies regarding LEIN/NCIC entry and related records.
  • Performs general administrative support for the department including but not limited to answering the telephones, greeting the public, filing, delivering and picking up mail, ordering office supplies including supplies for copy machines, fax machines and other office equipment, as needed.
  • Assists with the notification of utilities in emergency situations, such as severe weather events.
  • Performs other duties as directed.
Qualifications
Education:
High school graduation or equivalent required.  

Criminal History:
No felony convictions or disqualifying misdemeanors (e.g., domestic assault, weapons offenses, LEIN misuse, or others as determined by the authority).

Experience:
At least six months of previous general clerical experience with skills to include typing/word processing, filing and data entry preferred. Must possess strong typing skills and demonstrate accuracy and speed.

Knowledge, Skills, and Abilities:
  • Ability to maintain attention to detail with a high level of accuracy in data entry
  • Ability to use standard office equipment, procedures, and techniques.
  • Ability to manage and maintain confidential or sensitive information.
  • Comfortable handling media or data related to criminal activity, which may include graphic or disturbing content.
  • Efficient use of Microsoft applications, including word processing, email, and specialized programs.
  • Excellent organization skills and ability to maintain electronic and physical filing systems.
  • Able to use standard office equipment, including (not limited to) document scanner, copier, and printer.
  • Strong communication and customer service skills.
  • Overall positive attitude with a willingness to embrace innovation.

Physical Demands and Work Environment:
On-site work required, working 8-hour shifts on weekdays. Hours are typically weekdays, 8 hours, day/evening.

While performing the duties of this job, the employee is regularly required to communicate in person and by telephone, read regular and small print, view, and produce written and electronic documents, and enter data on a computer keyboard with repetitive keystrokes. The employee must be mobile in an office setting, stand, sit, stoop, and kneel, use hands to finger, handle, or feel and reach with hands and arms.  The employee must lift or push/pull objects of up to 15 lbs. without assistance.  Accommodation will be made, as needed, for office employees required to lift or move objects that exceed this weight.
The typical work environment of this job is a business office setting location where the noise level is quiet and sometimes moderate.
