What are the responsibilities and job description for the Manufacturing Administrative Assistant position at Calico Precision Molding, LLC?
Under the direction of the Operations Manager, this position will focus on customer service tasks and will perform statistical analysis to identify trends, inefficiencies, and areas for process improvement.
Essential Duties
- Support plant operations by performing general administrative tasks as needed
- As customer contact, this position ensures customer order fulfillments are met.
- Order fulfilment includes:
- Customer sales order entries.
- Provide feedback on deliveries
- Maintain all customer profile info, purchase orders and schedules
- Act as liaison between Calico and customers to ensure inquiries and complaints are handled in a timely manner
- Perform statistical analysis to identify trends, patterns and areas for process improvement
- Analyze data to identify inefficiencies, and opportunities for improvement in manufacturing process
- Develop predictive models to forecast production outcomes and optimize resource allocation
- Data collection and preparation; gather and prepare manufacturing data from various sources, ensuring accuracy and consistency
- Inventory management support
- Follows all Safety and Environment policies established here at Calico.
- Performs other duties as assigned including filling in for production needs as required.
Essential Responsibilities
- Incumbent is aware and understands their impact on product quality and will take ownership over their responsibilities. Incumbent knows the importance of achieving, maintaining product quality. This includes meeting our customer requirements and understanding the risk involved with non-conforming (reject) products reaching our customer.
- High School Gradate or General Education Degree (GED) required
- Bachelor’s degree in business administration, Operations Management, or a related field preferred OR 3-5 years of progressive experience in administrative duties
- Knowledge of customer service functions including appropriate telephone technique and office etiquette.
- Ability to adapt to progressive manufacturing processes.
- Ability to proficiently operate computer and appropriate software as well as other hardware structures.
- Ability to write reports, business correspondence and procedure manuals.
- Ability to communicate effectively, both orally and in writing with all levels of staff as well as with external contacts.
- Ability to monitor multiple projects at any given time.
Qualifications
- Proficient in Microsoft Office and Google Suite
- Strong clerical and administrative experience
- Excellent customer service and phone etiquette skills
- Familiarity with QuickBooks and multi-line phone systems
- Bilingual abilities are a plus
- Exceptional organizational and time management skills
- Experience with data entry, filing, and calendar management
- Typing proficiency and attention to detail in proofreading
