Manager, Donor Relations

Starting salary range: $80,000 - $87,980.00/annually

Full-Time, Exempt

This is an in-office position for the first 100 days. Requires in-office work five (5) days per week. Following the first 100 days, staff have the flexibility to work two (2) days remotely. Mandatory in-office workdays are Tuesdays & Wednesdays.

Job Summary: Reporting to the Vice President of Donor Relations, the Manager, Donor Relations enables CCF to raise funds and build relationships in an effective and efficient manner. The position requires leadership skills and significant experience in: project management, strategy development, operational policy development and implementation, meeting management, staff training and capacity building, workflow design and management, database management, operating budget management, contract management, development of board materials and presentations, and constituent relationship management.

As part of the Development and Donor Relations (DDR) team, the Manager, Donor Relations will be responsible for applying business knowledge and employee relations expertise and serving as a project manager and thought partner to the VP. The successful candidate will play a key role in the success of the Foundation by offering guidance and follow-through on administrative processes for the DDR department, while facilitating a positive relationship across the Foundation.

The Manager, Donor Relations will also play a team role in supporting key relationships with CCF constituents including but not limited to donors, prospects, foundation partners, consultants, and various constituency groups, including community-based service providers, policy and advocacy organizations, city staff and agencies, local and state-level elected and appointed officials and business leaders. This includes developing and tracking goals, strategies, and touchpoints for key constituents as well as scheduling and preparing materials for meetings, as needed.

The Manager, Donor Relations in collaboration with DDR Directors, Senior Officers and other managers, will support DDR onboarding processes for new DDR staff, and coordinate ongoing staff training on DDR-specific systems and processes. The person in this position will oversee general DDR departmentwide operations including scheduling and planning department meetings and managing institutional memberships and subscriptions.

As the primary liaison with the President’s Office on board-related matters, this position will coordinate all board and related presentation creation. Collaborating with DDR managers and the President’s Office, the person in this role will review all board materials to ensure they meet all criteria and standards for the CCF board and senior leadership. This position will coordinate closely with President’s Office on supporting top donor relationships.

The Manager, Donor Relations, may also be assigned special projects in support of DDR and the President’s Office.

Key Responsibilities and Duties

  • Collaborates with DDR management on departmental needs
  • Provides project management and administrative support on key donor relationships and department activities
  • Coordinates onboarding and ongoing training of all DDR employees in department and foundation policies and procedures.
  • Maintains up-to-date DDR policies and procedural guides.
  • Oversees the development and optimization of administrative systems within DDR, collaborating with users, management and IT.
  • Coordinates regular convenings of DDR staff working with management and department heads on agenda planning
  • Oversee the administration of all DDR contracts in coordination with DDR managers, GMT and Legal
  • Track all DDR operating budgets and create budget reporting
  • Manages institutional memberships and digital subscriptions for the DDR team
  • Maintains ongoing positive relationships with teams and individuals within and outside the Foundation
  • Adheres to the Foundation’s core values and guiding principles

Department-Specific Responsibilities

  • Maintains confidentiality and sensitivity at all times.
  • Provides high level of customer service and support across the Foundation.
  • Supports the DDR team in implementing systems and procedures to advance the work of the Foundation in coordination with all other CCF teams.
  • Supports the DDR department with administrative support
  • Supports other duties as assigned by Management.

Job Qualifications

  • Education:
    • Bachelor's degree required, degree in Business Administration is preferred.
  • Work Experience:
    • 5 years of professional experience in a Non-Profit, Community Foundation, or transferrable industry (i.e. Business, Sales). Foundation/Philanthropic work experience is preferred.
    • 5 years of experience managing: database administration, budgets and expenses, workflow maintenance, and compliance tracking

Problem Solving: Ability to interpret and analyze complex data and exercise initiative, sound judgment, and problem solving

Technology Skills: Ability to operate technical devices (e.g. computer, laptop, tablet, smartphone etc.).

Working Conditions:

  • Requires the ability to sit and work at a desk for several hours at a time.
  • Requires the ability to travel and attend meetings, presentations and events outside the office, which may require occasional use of a motor vehicle for transportation to other locations. Due to the nature of external appointments and/or responsibilities requiring travel to locations not easily accessible by public transportation, driving is an essential job responsibility for this position.
  • Work may require weekends and/or extended workday.
  • Punctuality and satisfactory attendance are essential functions of the job.

After one year of service, all full-time employees are eligible for tuition reimbursement of up to $15,000 for higher education. CCF also offers a student loan repayment program of $100/month for all full-time employees after one year of service.
