California Online Public Schools: District Operations Assistant
Position Summary:
The District Operations Assistant will work cross-functionally to support the Enrollment, Marketing, Registrar’s Office teams in streamlining different operational and administrative processes. The District Operations Assistant will be primarily responsible for fielding incoming and outgoing calls for families who are interested in enrolling with California Online Public Schools. We are seeking someone who is fluent in both English and Spanish to join our team. This role requires strong communication skills and customer service in both languages to effectively engage with prospective families as a knowledgeable resource for applicants about the school as a whole providing them with information, guidance, and support throughout the enrollment journey. The role will assist the enrollment team in ensuring that a family’s first interactions and experience with the school is a positive one. This position will be predominantly remote with the possibility of in office days and limited annual travel for team building and professional development purposes.
Essential Duties:
Enrollment & Marketing Support:
- Following up with warm leads generated by marketing campaigns by making calls to provide information about the school and support prospective families through the enrollment process.
- Using the CRM (Customer Relationship Management) system, Salesforce to track engagement and follow-ups , organizing lead information to effectively nurture relationships.
- Assist the marketing team in creating personalized communication strategies to nurture prospective families through the enrollment process.
District Office Support:
- Assist the Registrar’s Office and Enrollment to request and collect student records from school districts to facilitate enrollment and to help students and families complete the enrollment process when needed.
- Accurately input and organize student records in the Student Information System (Pathways).
- Monitor and manage incoming documentation to ensure a smooth transition for students.
- Identify and resolve issues related to student records and lead inquiries promptly.
- Generating reports and record requests
- Customer Service directly with outside schools and districts via phone calls and emails; researching world wide web for outside school contacts
Operational Support:
- Train and become proficient in Salesforce and Pathways SIS to ensure efficient workflow and data management. (Training will be provided)
- Communicate professionally with district personnel, families, and internal teams to support each department’s operational goals.
- Travel will be required on occasion for in-person events within California.
- Other duties as assigned.
Preferred Qualifications:
- Proficiency in Spanish and English (written and spoken) is preferred.
- High school diploma required;
- Associate’s or Bachelor’s degree preferred.
- 1-2 years of experience in customer service, marketing, or administrative support roles.
- Familiarity with school operations and/or student information systems, or customer relations management systems (e.g., Pathways and Salesforce) is a plus.
- Previous experience in electronic data management is highly desirable.
- This is a remote position; the employee must reside in California.
- Strong communication and interpersonal skills, both verbal and written.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- A team player with a collaborative and proactive mindset.
