California Probate and Trust, PC is an established and growing estate planning law firm located in Fair Oaks, CA. Our mission is to help clients transform the experience of living and dying, exchanging fear for assurance through thoughtful planning. The Opportunity
We’re seeking a Chief Operating Officer (COO) to oversee and implement the firm’s operations—except the practice of law. This is an on-site position with the potential for one remote day per week.
As COO, you will have responsibility for strategic planning, operational management, financial oversight, and driving the firm’s growth. Your role will also focus heavily on marketing and sales process, and driving efficiency while improving the client experience (I know, usually and oxymoron) . You’ll work directly with me (the owner) and the staff to shape the future of the firm.
More importantly, this is a role-up-you-sleeves-and-work job. I have a small team, so in the beginning, you need to be willing to help do some of the work until you can build your team.
Key Responsibilities
- Growth: Expand the firm’s reach and profitability by improving marketing, sales, systems, growing revenue and profit, and maximizing efficiency.
- Leadership: Build and manage an aggressive money-driven team,
- Systems Management: Develop workflows, refine processes, and ensure operational excellence to meet client needs and exceed expectations.
- Financial Oversight: Manage budgets, cash flow, and financial reporting, using KPIs and metrics to drive decisions.
- Vendor and Marketing Oversight: Evaluate vendor relationships and optimize the ROI of our marketing budget.

What We’re Not Looking For
We operate with a strict no-a$$hole policy. If you’re rude, crave accolades and public acknowledgement, quick to blame others, or struggle to work well with a team, this is not the role for you. If you can't express yourself without a string of profanity, if you like to gossip or belittle others, if you are never wrong or think you are the smartest person in the room, don't apply.
If you managed great people who had great success, but don't know how to do things yourself, don't apply. While I love the idea, I can't hire your team immediately. We need to grow this first.
Ideal Candidate Experience
- Building a service-based company from small to over $20M.
- Expanding into new markets and growing both revenue and profit margins
- Implement and improve new marketing, new systems and workflows to support growth
- Willingness and able to learn quickly about our area of practice is essential (you need to be smart)
- Tech savvy. You will not need to write code, but you need to acclimate to our CRM quickly, know how to use MS Excel (write formulas, pivot tables, etc.)
- AI ready. - You need to be willing and excited to try new things and implement new tech to improve our firm, customer experience, efficiency, and profitability.
