Administrative Assistant - Field Operations
We are seeking an Administrative Assistant for our Field Operations department located at our Headquarters in San Jose, CA. This position provides overall administrative support to the Director and Assistant Director of the Field Operations department.
The California School Employees Association (AFL-CIO) represents over 275,000 classified school employees who work in 783 school districts in California, making it the largest independent classified school employee union in the country. Our members are paraeducators, administrative and clerical workers, food service, bus drivers, groundskeepers, and maintenance and trades. Examples of duties and responsibilities:
- Independently compose, or respond to, routine correspondence
- Coordinate, plan, and prepare for training programs, events, projects/campaigns, and department meetings, including arranging and coordinating all travel, facility, and housing requirements
- Coordinate and maintain department master calendar
- Assist in preparation and monitoring of department budgets
- Coordinates and maintain effective office procedures and workflow
- Maintain databases for statewide use
- Assist members and staff in understanding and interpreting Association policies and procedures
- Log and process member data files into database received from school districts
- Provide administrative assistance to the department as needed
Ability to:
- Effectively coordinate and administer a wide variety of services and programs
- Demonstrate initiative and exercise independent judgment in the performance of duties
- Establish and maintain good relationships with all levels of CSEA members, staff, and representatives of outside agencies
- Advise and guide others in reaching solutions to problems
- Handle difficult situations with diplomacy and tact
- Remain calm and think clearly under pressure
- Prepare and present clear, concise and complete reports
- Handle confidential information efficiently and with complete security
- Work cooperatively with other CSEA departments, field offices and outside agencies
The ideal candidate would have the following qualifications:
- Three (3) years’ experience in an administrative role with increasing responsibility
- Proficiency in MS Office 365, Teams, One-Drive and SharePoint
- Excellent written and verbal communication skills
- Experience emphasizing customer service
- Flexibility, high initiative, attention to detail
- College degree or equivalent work experience
The salary range for the Administrative Assistant - Field Operations is $63,966 – $79,243. Starting salaries are typically at the first step on our salary range, although consideration may be given for candidates with exceptional qualifications and experience. Additional benefits include 18 paid holidays, 3 weeks’ vacation, medical benefits for you and your family, life insurance coverage, a pension plan, and a 401(k) plan.
