ABOUT OUR ORGANIZATION
The Laborers Funds Administrative Office of Northern California, Inc. is a not-for-profit corporation providing administrative services under contractual agreements for Northern California Laborers Trust Funds. We employ over 100 employees and provide services for over 30,000 Laborers and beneficiaries in the various employee benefit plans we administer since 1963.
The Role:
The Administrative Assistant role is a confidential position that plays a key role in ensuring the smooth operation of daily administrative functions within the organization. This position requires strong organizational and multitasking skills, proficiency in Microsoft Office, and the ability to provide professional support to various teams and leaders. Acts as a liaison between the administrative department, Union Locals, Members, Trustees, and Vendors.
How you'll make an impact:
Administrative Support
- Help manage and maintain calendars for leadership, ensuring efficient scheduling and coordination
- Screen and route incoming phone calls and emails to appropriate parties
- Provide assistance to the Fund Manager, including administrative and organizational tasks.
- Prepare and work on various reports
- Assist with diverse projects across multiple departments
- Provide support and assistance to the Administrative Services Manager as needed
Event and Board Support
- Serve as primary backup for all board-related functions, including event planning and logistics
- Register trustees for conferences and manage related travel or event logistics
- Onboarding of new trustees
- Support and attend offsite job fairs and events as representative of the organization
Office Management
- Restock supplies at the employee breakroom’s, member lobby and boardroom to ensure inventory is maintained
- Provide front desk coverage, greeting visitors and managing inquiries
- File, organize, and maintain both physical and digital documents to ensure accessibility and accuracy
Systems Management
- Administer and update BoardEffect
- Maintain and update the administrative page on Confluence
What we are looking for:
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously
- Strong communication skills, both written and verbal
- Must be able to perform each essential duty satisfactorily and with minimal supervision
- Bilingual in Spanish is desirable
- Associate degree from an accredited college or university (preferred), or three (3) years related experience and/or training; or Equivalent combination of education and experience
- Ability to work inter-departmentally within an organization in an office environment
- Ability to read, analyze and interpret. Ability to write reports, business and interoffice correspondence and minutes for the Corporation.
- Ability to calculate figures and amounts and understand the basic concepts of mathematics
- Ability to multi-task, prioritize and meet deadlines
- Detailed oriented with attention to accuracy
- Discretion with the ability to maintain confidentiality
- Strong written and verbal communication skills
- Strong analytical skills with the ability to resolve problems
