JOB TITLE: Apartment Manager Bookkeeper
JOB SUMMARY: The Apartment Manager Bookkeeper is responsible for overseeing the day-to-day operations of Callahan Construction, Inc. apartment complexes, including managing tenant relations, ensuring maintenance and cleanliness, and handling the financial records for the property. The position requires both property management expertise and bookkeeping skills to ensure the property remains financially stable and well-maintained.
DUTIES AND RESPONSIBILITIES:
Property Management:
- Oversee the daily operations of the apartment complexes, ensuring it runs smoothly and efficiently.
- Coordinate property maintenance, repairs, and renovations, ensuring high standards of quality and timeliness.
- Respond to tenant inquiries and concerns, ensuring positive tenant relations via email, phone calls, etc.
- Conduct regular property inspections to ensure the property is well-maintained and address any issues.
- Handle leasing duties, including showing vacant units, preparing lease agreements, processing rental applications, overseeing tenant move-ins.
- Maintain a low vacancy rate
Financial Management:
- Manage the property’s financial records, including rent collections, deposits, and payment processing.
- Maintain accurate financial records for the property, including accounts payable and accounts receivable.
- Track and manage the budget for the property, ensuring all expenses stay within limits.
Billing and Payments:
- Ensure tenants are billed accurately for rent, utilities, and other charges.
- Process vendor invoices for services and supplies, ensuring timely payment.
- Manage security deposit accounting, ensuring compliance with local regulations.
Administrative Support:
- Maintain tenant files, lease agreements, and other important documentation in an organized and confidential manner.
- Assist with marketing and advertising vacant units.
- Handle other administrative tasks as required.
Required Skills & Qualifications:
- High school diploma or equivalent; associate’s degree in business, finance, or a related field preferred.
- Proven experience in property management or bookkeeping, ideally in a residential setting.
- Knowledge of accounting software preferred .
- Strong communication and customer service skills.
- Ability to manage multiple tasks and prioritize effectively.
- Detail-oriented with strong organizational skills.
- Knowledge of local landlord-tenant laws and regulations.
- Ability to work independently and take initiative.
