Job Overview
To ensure all invoices receive proper approval and are submitted for payment in a timely manner. Will also assist with some general accounting responsibilities
Responsibilities and Duties
- Approach all encounters with guests and team members in a friendly, service-oriented manner.
- Maintain regular attendance in compliance with Callaway standards, as required by scheduling.
- Maintain high standards of personal appearance and grooming which includes a nametag when working.
- Comply at all times with Callaway standards and regulations to encourage safe and efficient operations.
- Maintain a friendly and warm demeanor at all times.
- Collect and process all invoices from property hosts.
- Receive invoices through email and hard copies
- Ensure correct coding is on invoices and invoices are properly approved.
- Scan all invoices into paperwise.
- Resolve invoicing disputes.
- Reconcile vendor statements.
- Responsible for invoice record retention.
- Correct invalid coding issues.
- Prepare vendor setups.
- Collect updated W9 forms from vendors.
- Collect COI and other forms from vendors (as needed).
- Respond to invoice inquiries from vendors and hosts.
- Maintain communication with vendors and hosts on invoicing issues.
- Create period end accruals list.
- Annual inventory audits or as needed.
- Period end cash audits.
- Cross train to provide support for accounts receivable and cash office to support time off as needed
- Assist with account reconciliations and journal entries as assigned by the Accounting Manager
- Perform other duties as assigned by supervisor or management.
- Attend all meetings/training as required by supervisor or manager.
Qualifications
Education & Experience:
- Associate's degree in accounting or related field
- Relevant, sustained work experience with accounts payable can be in lieu of the degree
Physical Requirements:
- Must be able to lift/carry a maximum of 30 pounds, stand, sit, bend and walk for extended periods of time.
- Must be at least 18 years of age or older.

- Must be able to convey information and ideas clearly.
- Must be able to evaluate and select among alternative courses of action quickly and accurately.
- Must be able to work well in stressful, high-pressure situations including the ability to handle guest complaints and disputes and resolve them to satisfactory results.

- Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
- Must be effective at listening to, understanding and clarifying concerns and issues raised by team members and guests.
