What you'll be doing:
- Manage the complete administration of service contracts for Caltrol. This includes contract proposals, booking, SMS updates, the contract renewal process, contract file updates, and the distribution of information to Caltrol personnel and customers.
- Assist Director of Service, Systems Service Engineers, and Technology Consultants with all aspects of the system installed base parts ordering, repair/exchange, foundation support and services.
- Assist Director of Service, Systems Service Engineers, and Technology Consultants in the preparation and closing of systems service quotations, including parts, repairs/exchanges, Foundation/Guardian Support, service contracts, and on-demand services.
- Performs as project coordinator for Systems Service group projects. Works with sales and the Director of Service to generate project proposals and scopes of work.
- Assist the Director of Service in scheduling systems service resources for on-site work.
- Assist the VP of Service on financial contract forecasting.
- Completes required order entry documentation and enters customer orders in Caltrol and Emerson business systems.
- Tracks and follows up with factory personnel to ensure proper construction and delivery and initiates billing and final invoices to customers.
- Assist Director of Service with updating on-call schedules, contact tracking, equipment calibration records, and NIST verification.
- Actively participates with team members to achieve team sales, gross profit, customer satisfaction and continuous improvement activities goals.
What we’re looking for:
- 5-10 years of professional experience, ideally in contract administration or industrial automation.
- Contract Administrative experience preferred.
- Associate or bachelor's degree in a related area (Business Admin or Accounting) preferred.
- Business system data entry experience.
- Proficient with Microsoft software applications, including intermediate/advanced Excel.
- Dedication to customer service excellence.
- Strong verbal, written, and presentation skills to effectively communicate.
- Ability to handle special assignments and schedule demanding workloads to meet customer deadlines.
- Willingness to work overtime as the situation requires.
- Works well under pressure: sometimes meeting multiple and conflicting deadlines.
Hiring Range
The hiring range for this position is $85,000 - $100,000 annually plus Quarterly Profit Sharing. This is the pay scale range Caltrol reasonably expects to pay for this position at the time of this posting. The base pay actually offered will take into account internal equity and may vary based on geographic region, skills, qualifications, and experience of the candidate, along with the requirements of the position.

Physical Demands:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 10 pounds.
Travel:
Occasional travel to company training and client visits. 4 days / week in Office
