Duties and Responsibilities
Reporting To The Office Manager Of NOARC/CERNO, The Administrative Assistant Will Provide Administrative Support Services, Assisting Students, Accessibility Staff, Psychological Practitioners And The Public In Understanding And Navigating NOARC/CERNO Services And Procedures. The Administrative Assistant Will Also
- Be the first point of contact for the public, students, accessibility staff and psychological practitioners from across Northern Ontario; assisting the public, students, accessibility staff and psychological practitioners in understanding and navigating NOARC/CERNO procedures.
- Accept and process referrals from Accessibility staff at 11 colleges and universities, along with additional satellite campuses throughout Northern Ontario and five Indigenous Institutes.
- Respond promptly to all enquiries regarding students’ status; confirm the presence of appropriate consent to share such information.
- Carry out activities that support the functioning of the physical offices and virtual processes that support NOARCs working relationships with its consortium of colleges and universities beyond Cambrian College.
- Schedule appointments between students and staff and/or practitioners, which may include scheduling of test rooms and travel arrangements; daily student contact is therefore required.
- Handle sensitive student requests, confidential files and departmental records relating to payroll.
- Provide administrative support for the Manager and Office Manager with regards to maintaining and updating Policy & Procedures, website content, and the coordination of professional development events.
- Prepares and enters bi-weekly payroll reports for both full and part time employees.
- Must have a two-year postsecondary diploma or equivalent in General Business or a related field. (A copy of educational documents must be submitted with application *** education completed outside of Canada, applicants are required to submit a WES or ICAS with their application)
- Minimum of two years of experience as an administrative assistant or secretary in an office environment with a focus on customer service, preferably working with students or within an educational setting.
- Experience or versed in working with private health care information.
- Knowledge of the applications of the Personal Health and Information Protection Act.
- Excellent interpersonal, organizational, and time management skills.
- Excellent customer service, writing, and communications skills.
- Must demonstrate strong resourcefulness, analytical skills, tact and judgement
- Proficiency in Microsoft Office software (Word, Excel, and Outlook).
- Experience working within a postsecondary environment.
- Experience effectively communicating, connecting, and supporting clients by phone or email (when not in person)
