Job Summary

The Receptionist plays a crucial role in supporting day-to-day operations at Cambridge Security Services Corp. This position is responsible for administrative tasks, front desk duties, and ensuring seamless coordination of activities. Reporting to the Operations Manager and the Recruiter, the Receptionist will handle a variety of responsibilities requiring excellent organizational skills, professionalism, and a proactive attitude.

Key Responsibilities

  • Answer and direct incoming calls promptly and professionally. Transfer calls or take messages as needed.
  • Greet clients, visitors, and applicants upon arrival and connect them with the appropriate staff.
  • Schedule and organize meetings, travel arrangements, and departmental activities.
  • Manage and prioritize large volumes of calls, emails, and information.
  • Maintain and organize the Quartermaster room.
  • Assist with onboarding processes and distribute incoming documents to the appropriate departments.
  • Sort, open, and distribute mail and correspondence.
  • Coordinate the ordering, receiving, and stocking of office supplies.
  • Perform general clerical tasks such as photocopying, emailing, and document collation.

Required Qualifications

  • Education: Associate's degree preferred; high school diploma accepted with equivalent experience.
  • Experience: Prior experience as a Receptionist or in a similar administrative role.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Customer Service Skills: Strong communication skills with a professional and courteous demeanor.
  • Personal Attributes:
    • Attention to detail and organizational skills.
    • Ability to work efficiently in a fast-paced environment.
    • Team-oriented mindset and adaptability.
    • Positive attitude and strong work ethic.
