The Administrative Services Coordinator is responsible for financial, human resource, and administrative functions at Camp Korey. This includes accounting, payroll, personnel administration in the HRIS, benefit updates, and recruitment support.
This is a full-time (40 hours per week) position, Monday through Friday during daytime hours, primarily onsite. There is some flexibility in scheduling and work may occasionally require evenings and weekends. Additionally, this position has recurring work situations that involve having a high degree of discretion. The need for accuracy, confidentiality, and effective utilization of resources and routines is high. Success in this role hinges on being meticulous, maintaining professionalism, adept problem-solving skills, superior written and verbal communication abilities, outstanding customer service aptitude, and the capacity to navigate and defuse tense situations. Your contributions will directly impact our ability to fulfill our mission.
What you'll be doing (with training and a team):
- Supporting talent management strategies in recruitment, training, performance management, and employee engagement and retention initiatives.
- Prepare invoices, checks, account statements, chart of accounts, Payroll reports, and general ledger accounts with various registers; extracts general ledgers information; compiles cost revenue reports, budget, and balance sheets; reconciles bank statements; reconciles donations and gifts in kind.
- Perform day-to-day activities of accounts payable, cash receipts, and disbursements, invoicing/billing, customer and donor credits and collections, payroll/benefits, fixed asset records including titling and licensing, general and entity accounting, cost accounting, and budgeting.
- Track administrative requirements ensuring compliance with federal and state laws, local requirements, contracts, SeriousFun, American Camp Association and other accreditations needed.
- Review and keep current all organization policies and procedures.
- Maintain accurate and timely personnel records; effectively use the HRIS system; track and report people management statistics.
- Process payroll as needed.
- Maintain all licenses and renewals.
- Track contracts for equipment, supplies, materials, services, and products.
- Lead management of office logistics, including supply inventory, equipment maintenance, and vendor relationships.
What you'll need to bring (necessary requirements):
- 3 years of increasingly progressive accounting experience, and /or experience as a human resources coordinator OR any equivalent combination of experience and education that provides the applicant with the skills, knowledge and abilities required to perform the work.
- Knowledge of generally accepted financial, accounting, budgeting, procurement, contracting, auditing and internal control principles and techniques, and reporting systems.
- Experience with financial systems, QuickBooks Desktop and Online highly preferred.
- Experience in HR systems (HRIS/CORE, Payroll, ATS, Onboarding, LMS); Paycom experience highly preferred.
- Experience in diverse work groups, including the ability to engage consistently in a positive, friendly, collaborative, and inclusive manner.
- Strong interpersonal skills to handle sensitive and confidential situations.
- Ability to organize details, set priorities, and meet deadlines with a consistent commitment to follow through.
- Strong communication skills to demonstrate professionalism, courtesy, tact, compassion, and sound judgment, including distilling and presenting complex concepts and practices into a form that is easily understood by non-experts.
- Experience in non-profit operating and capital budget development and administration (PREFERRED)
- Life or professional experience with individuals with terminal or life-altering medical conditions (PREFERRED)
- Communication capability in multiple languages (PREFERRED)
Certificates/ Licenses/ Registrations necessary to meet Camp Korey requirements:
- Valid drivers license with reliable self-transportation to areas not served by mass transit; driving record acceptable to Camp Koreys insurance policy
- Immunization history with current vaccines and boosters
- Must have or obtain CPR/AED certification
- Acceptable background check clearance
