Job Summary
As the Operation Assistant, you will play a vital role in managing the logistics, communication, and organizational needs of our camps and academy programs. This role is perfect for someone who thrives on multitasking, creativity, and bringing order to a fast-paced and mission-driven environment.
Responsibilities Administrative Support
- Manage the Director’s calendar and schedule meetings with clients, vendors, and staff.
- Handle email correspondence with professionalism and timeliness.
- Maintain digital and physical filing systems for ongoing projects.
- Camp Operations
- * Coordinate seasonal hiring and onboarding of camp staff.*
- Organize logistics for camp supplies, including ordering, inventory, and delivery.
- Create and maintain camp schedules, activity rosters, and staff assignments.
- Serve as the point of contact for parents, addressing inquiries and feedback.
- Academy Support
- Assist in organizing training resources and digital content for academy clients.
- Track client onboarding and ensure timely delivery of materials.
- Manage kit production and distribution logistics.
- Marketing and Social Media
- * Draft and schedule engaging social media posts across platforms.*
- Assist with creating newsletters, blogs, and promotional campaigns.
- Collect and utilize testimonials and success stories for marketing
- purposes.
- Financial and Reporting Tasks
- Track expenses and assist with budget management.
- Handle basic QuickBooks tasks like categorizing expenses and generating reports.
- Event Planning

- Organize workshops and support the planning of camp and academy activities.Qualifications Required
- Proven experience as an executive, operation assistant, administrative coordinator, or in a similar role.
- Exceptional organizational and multitasking skills.
- Proficient in Microsoft Office, Google Workspace, and project management tools.
- Strong written and verbal communication skills in English and Spanish.
- Self-motivated, proactive, and resourceful with the ability to work independently.
- Preferred
- * Experience in event planning, marketing, or program coordination.*
- Familiarity with QuickBooks or other financial software.
- Interest or background in education, psychology, or child development.
- Compensation and Work Hours
- Hourly Rate: $18–$20/hour (Based on experience and qualifications).
- Hours: Flexible schedule ranging from 20–30 hours/week for part-time or 40 hours/week for full-time.
