What are the responsibilities and job description for the Assistant Project Manager position at Campus Construction Management Group?
Campus Construction Management Group is seeking an Assistant Project Manager to support our project teams in the Greater Rochester / Genesee Valley region. The Assistant Project Manager is responsible for assisting in the overall managerial and administrative duties and direction of a project. This position may have responsibility for specific aspects of a construction project or phase, along with assisting project personnel to complete daily project tasks, depending on size and scope of project. Utilization of this position is dependent on size, scope and complexity of project. Incumbent is normally in a supportive role to the Project Manager on large, complex projects.
ESSENTIAL FUNCTIONS:
General
- Achieves client satisfaction by meeting or exceeding client expectations, including Owners, Architects, Engineers, Prime Contractors, and Employees.
- Performs overall project activities as assigned by the Project Manager, including but not limited to, planning and coordinating departmental activities with others; problem resolution; and ensuring all company/project policies, procedures, and standards are maintained.
Project Management
- Assists the Project Manager in reviewing documents generated during the stages of the design process and providing feedback to the Architect/Engineer to ensure documents are complete to minimize or eliminate potential change orders after contracts are awarded.
- Assists the Project Manager in developing front-end document sections (Ex. Multiple Contract Summary, Milestone schedule, sample contract, General Conditions, Temporary Facilities, etc.); for inclusion in the specification manual.
- Assists the Project Manager with the bidding process, recruiting contractors for bidding each contract, conducting a pre-bid meeting, and tallying the bids to compare against the budget estimates.
- Assists the Project Manager in conducting de-scoping meetings of the apparent low bidders, and recommends contract awards to the Owner.
- Manages the Submittal process with each prime contractor, to be sure that each submittal required is received and approved by the Architect/Engineer in a timely manner.
- Manages the Request for Information (RFI) process, and ensures the Architect/Engineer responds to a contractor’s questions in a timely manner.
- Assists the Project Manager with the Request for Proposal (RFP) process, including receiving and reviewing contractor change requests to recommend acceptance or rejection, and preparing contractor change orders, as needed.
- Assists the Project Manager with the project closeout process, and receives each closeout item required; prior to release of final payment to the Contractor.
- Assists the Architect/Engineer in the development of project punch lists and monitors the completion of those lists; prior to release of a contractor’s final payment.
Leadership
- Assists the Project Manager in conducting meetings during construction such as: pre-construction meetings, scheduling meetings, bi-weekly project meetings, and monthly Owner-Architect-CM (OACM) meetings; drafts and distributes meeting minutes.
- Participates actively in the solicitation and procurement of new and future employees.
- Ensures that the Company's Standard Operating Procedures (SOP) are followed.
- Coordinates with Field Managers on assigned projects, including monitoring and reporting on contractor’s activities and progress on assigned projects.
Scheduling
- Assists the Project Manager in collecting project schedule input from each prime contractor and develops the master construction schedule.
- Updates and reviews the master schedule at regular intervals during construction.
Financial/Budget
- Assists the Project Manager in tracking the Project Budget, Incidental Budget, contractor payment applications, and contractor Change Requests to be sure that the project stays within budget.
- Assists the Project Manager in reviewing each contractor’s draft copy payment application to be sure that percentages billed match actual installations.
Communication
- Acts as a liaison between the Owner, Architect/Engineer, and the Contractor and manages the flow of communications.
- Assists the Project Manager in drafting and distributing contracts to each awarded contractor.
- Assists with the maintenance of all files, including all necessary correspondence and project minutes.
ADDITIONAL RESPONSIBILITIES:
- Provides and assists administrative direction and duties on assigned projects.
- Accomplishes all other duties and tasks as appropriately assigned or requested.
EDUCATION & EXPERIENCE:
- Bachelor’s degree required in Business, Construction Management or Engineering, or an equivalent combination of related work experience, training and/or education sufficient to successfully perform the essential duties of the job.
- Preferred Two (2) years of construction work experience.
