Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to provide top-tier support to our executive leadership team. In this role, you will manage schedules, coordinate meetings, handle confidential communications, and ensure smooth day-to-day operations for the entire executive team. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced environment.
Responsibilities :
- Strategically manage complex calendars for multiple senior leaders, including conflict resolution, priority alignment, and stakeholder coordination
- Act as a gatekeeper for executive communications, screening inquiries and escalating urgent matters
- Prepare executive-level briefings, reports, and presentations with data analysis / visualization
- Handle confidential documents and sensitive information related to leadership decisions
- Oversee office operations, including supply inventory, equipment maintenance, and vendor relationships
- Implement cost-saving measures for office expenditures and event budgets
Develop and enforce workplace policies (e.g., hybrid schedules, meeting protocols)
Serve as primary contact for facility management issues
Coordinate cross-departmental initiatives and board meeting preparations
Mentor junior administrative staff and standardize workflows
Manage executive travel with contingency planning for disruptions
