What are the responsibilities and job description for the Business Support Specialist position at Canopy Child Advocacy Center?
PURPOSE:
The Business Support Specialist is responsible for welcoming all clients and partners to Canopy. This position interacts with all children and families that come to the agency. Good customer service skills are essential. The Business Support Specialist maintains client case information in the data management system and communicates regularly with partners. This position requires excellent organization, problem solving and interpersonal skills.
ESSENTIAL JOB FUNCTIONS:
- Completes the scheduling function by maintaining appointment calendars and scheduling appointments.
- Organizes meeting rooms and maintains schedule availability for each office space and common areas at all times.
- Maintain referral process with referring offices.
- Explains intake paperwork to clients and uploads completed packets into the data management system.
- Communicates appropriately and timely with referring offices.
- Sends out appointment letters and mails requested DVDS when necessary.
- Responsible for inventory of office supplies.
- Participates in the development and achievement of continuous system improvements.
- Maintains flow of cases through the agency.
- Daily interaction with children and families while they are at the agency for services.
REQUIRED QUALIFICATIONS:
- High School Diploma
- Basic professional knowledge; equivalent to a Bachelor's degree;
- Working knowledge of theory and practice within a specialized field
- Education/Knowledge: Experience: 3-5 years Technical/Clinical Skills
- Must have excellent computer skills, experience with databases, spreadsheets, graphs, and charts and above average knowledge of Microsoft Word, Excel, PowerPoint and other related software programs.
KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:
- Proficiency with computers and commonly used software applications.
- Strong customer relations and communications skills.
- Experience working with children
- Demonstrated initiative and independent problem-solving skills.
- Ability and experience in interacting effectively with a wide range of cultural, ethnic, racial and socioeconomic backgrounds.
PHYSICAL AND MENTAL DEMANDS:
- Communicate with others in person, electronically or by phone on a consistent basis.
- Must be willing to be flexible with hours.
- Regular and predictable attendance.
