We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support the Executive. This role is critical in managing the Executive daily operations, optimizing their time, and ensuring seamless communication with internal and external stakeholders.
Working closely with the Chief of Staff, the EA will handle calendar management, travel coordination, event planning, and administrative support, while also acting as a gatekeeper and key point of contact. The ideal candidate is highly responsive, anticipates needs, thrives in a fast-paced environment, ambitious, motivated, hungry, and an expert time-manager.
Responsibilities:
Executive Support & Administration
• Manage the Executive calendar, emails, phone calls, and daily agenda, ensuring smooth and efficient scheduling.
• Serve as the gatekeeper, screening requests and prioritizing the EVP’s time.
• Anticipate needs and prepare necessary materials for meetings, presentations, and engagements.
• Track and follow up on key action items to ensure timely execution.
• Process and track business expenses for the Executive and team.
Travel & Event Coordination
• Plan and manage domestic and international travel logistics, including flights, accommodations, and itineraries.
• Organize and coordinate executive meetings, offsites, and special events.
• Ensure all logistics are handled efficiently, allowing the Executive to focus on business priorities.
Stakeholder & Team Collaboration
• Act as the primary point of contact between the Executive and internal/external stakeholders.
Qualifications:
• 5 years of experience as an Executive Assistant or similar role supporting senior leadership.
• Expertise in complex calendar management and scheduling across multiple time zones.
• Strong organizational and time-management skills, with the ability to handle multiple priorities. Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
• Discretion and professionalism in handling sensitive information.
• Strong written and verbal communication skills.
• Proactive, resourceful, and adaptable in a fast-paced environment.

Salary: $ 130,000 - $ 160,000
The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
Salary : $130,000 - $160,000
