Primary Function
The Development Database and Analytics Coordinator is responsible for maintenance and usage of the Tessitura database for the Development Department. The Coordinator will be responsible for processing donations and acknowledgements, data reporting, and Annual Fund mailing coordination and fulfillment. The position will also assist with events and general office tasks as required.
Duties and Responsibilities:
Database and Reporting
- Under the direction of the Director of Development Operations, maintains the integrity of the Tessitura database for Development through the quality control of data input and donation information while adhering to departmental policies and procedures.
- Coordinates the accurate and timely entry of all gift processing, receipting, acknowledging, monthly invoicing and pledge management activity.
- Maintains donor contact information, communication preferences and other pertinent information; identifies any recurring gaps in data integrity and works with the Director of Development Operations and Tessitura Administrator to create solutions.
- Maintains hard and electronic filing system of deposits, backup documentation and donor communication.
- Sets up Campaign, Appeal, Fund, Designation and Source structure in Tessitura.
- Executes queries and ongoing reports, list pulls, and other data/reporting requests.
- Participates in data process and report improvement discussions and assists with implementation planning as requested.
- Assists other Development staff members with implementation of policies and procedures to optimize the use of Tessitura.
- Assists with the balance and closing of monthly financial reconciliation.
- Responds to general phone inquiries about gifts and benefits.
Annual Fund Coordination
- Under the direction of the Director of Development Operations, coordinates Annual Fund renewal mailings. Generates mailing lists, merges and prints materials, fulfills mailings. Coordinates volunteers when needed.
- Coordinates end of year (calendar and fiscal) mailings for renewals, lapsed, and prospective donors. Generates mailing lists, coordinates mailing logistics and materials with external printers, mail-houses, post office, etc.
- Compiles, formats, and edits donor listings to ensure accurate recognition and benefits for program books, annual reports and other publications.
- Maintains department supply inventory by checking stock to determine inventory level; anticipates needed supplies; places and expedites orders for supplies.
- Coordinates design and printing of annual fund campaign materials (brochures, pledge cards, etc.).
- Records and notifies Development team of daily donations received via mail.
Special Events
- Leads Picnic with the Pops Development logistics coordination.
- Co-manage Picnic with the Pops intern.
- Assists with staffing, setup, and tear down of special events as needed.
Knowledge, Skills, and Abilities:
- Experience with non-profit fundraising database software required, Tessitura experience strongly preferred.
- Strong computer skills required, including proficiency in Microsoft Office. Familiar with word processing and spreadsheets.
- Exhibit strong attention to detail and accuracy in recording information.
- Strong written and verbal communication skills.
- Demonstrate strong organizational skills and ability to handle multiple tasks and priorities simultaneously; process-focused.
- Must be able to handle confidential donor information with sensitivity, integrity, and accuracy.
- Aptitude for and willingness to learn new technologies
- Ability to consistently demonstrate the Columbus Symphonys values.
Credentials and Experience:
- High School Diploma or Equivalent; Bachelors Degree preferred.
- Prior work experience in the arts or non-profit organization preferred.
Special Requirements:
- Requires flexibility with schedule to accommodate needs of the organization. Seasonal, volume-related and/or special projects may require occasional extended workdays, evenings and weekends with this position.
