What are the responsibilities and job description for the Assistant Property Manager, Commercial Property Management position at Cape Associates?
QuickBooks Responsibilities Include:
- Daily, comprehensive work in QuickBooks from entries to preparation of financial statements.
- Maintain separate companies for each commercial property account.
- Process and record invoices for each property and do a weekly check run.
- Reconcile all bank accounts for each commercial property monthly.
- Process and track customer payments in QuickBooks.
o Make weekly bank deposits.
o Manage delinquent accounts.
- Organize and maintain records of all contractors performing work for each account.
o Collect W9s from each contractor.
o Prepare 1099’s.
o Work with accountants to prepare reports for taxes.
- Prepare accurate and timely financial reports for Board meetings.
- Prepare monthly financials reports for commercial property accounts, based on determined list developed with Manager, on the established criteria for each property.
- File paperwork and maintain files for each commercial property account.
- Oversee and manage Account Coordinators and help train and educate them on basic accounting principles and best practices.
Property Management Responsibilities Include:
- Work with manager to develop a list of properties that Assistant Property Manager will have property management responsibilities for, including the items below:
o Actively communicate with the Trustees of each Board of Directors
o Be available for homeowner/unit owner communication.
o Review all insurance for each association.
o Schedule board meetings in consultation with the Board of Trustees at each association.
o Oversee financials and daily QuickBooks work with Account Coordinator.
o Monitor budgets throughout the year and work with Board of Trustees to develop annual budgets.
o Schedule and prepare for Annual Unit Owner Meetings in coordination with the Board of Trustees and coordinate elections.
o Work with account coordinators to prepare monthly billing invoices for each property.
o Assist in preparation of RFPs for all yearly contracts, put out to bid if necessary, and present to Board.
o Understand each Association’s by-laws and Rules & Regulations.
o Acquire a sense of how each Association works and maintain management in that same vain, respecting how the community interacts with each other. Every community has a different philosophy regarding rules, financial health, and their availability.
