The CDTA Maintenance Administrative Assistant will provide administrative support to the Director of Maintenance and his administrative team.

Grade 612 ($48,043-$55,249/salary)

Duties and Responsibilities
The CDTA Maintenance Administrative Assistant will provide administrative support to the Director of Maintenance and his administrative team.
General Duties:
- Calculate and enter Maintenance Payroll
- Enter Payroll for White Collar/STAR Call Takers
- Provide administrative support to the Superintendent of Maintenance, including filing, typing, copying, report generating, etc.
- Maintain all CDTA vehicle files.
- Support Superintendents with special projects in an administrative capacity as required.
- Attend meetings and document discussion topics as needed.
- Manage and maintain all DMV paperwork for CDTA fleet, as well as registering all new vehicles.
- Update and maintain employee information in SPEAR and maintain employee personnel files.
- Manage and maintain all employee tool allowances and meal allowances.
- Manage and maintain all time off requests for Maintenance employees.
- Weekly visits to satellite divisions to maintain and receive Maintenance paperwork.
- Make new hire manuals and training manuals for the Maintenance Department
- Call in fuel levels daily and maintain fuel reports.
- Mail oil samples to Vendor and update equipment list on Website.
- Mail Duties- put postage on all outgoing mail and put it in the lobby for pickup, then distribute all incoming mail to employee mailboxes.
- Fill in or assist other Administrative Assistants as needed.
- Other duties as assigned.
- High School Diploma or equivalent
- Must have experience with Microsoft products including Word, Excel, and Outlook.
- Must be able to learn new software and must have the ability to multi-task.
- Must be able to commit to a high degree of confidentiality.
