Position Overview
This is a full-time, in-office Receptionist and Assistant Processor position at Caplan Law Group's Newport News Office, located at the entrance of Oyster Point. As the first point of contact for clients and visitors, you’ll represent our firm with professionalism and courtesy while supporting the legal team with essential administrative and real estate processing tasks.
This is an entry-level position offering significant learning opportunities and room for advancement, especially for those interested in the legal or real estate closing fields.
Key Responsibilities
Client Interaction
- Answer and direct phone calls professionally
- Greet clients and visitors with warmth and professionalism
Office Management
- Maintain a tidy and presentable reception area
- Assist with office tasks such as filing, photocopying, and data entry
Transaction & Processing Support
- Enter new transactions into our system and maintain organized records
- Assist with scanning, printing, and modifying PDFs
- Print real estate closing packages for all closings held in our Newport News office
- Scan completed packages into our system to ensure digital records are properly maintained
- Prepare and overnight physical documents to the appropriate parties as needed
- Print checks for parties scheduled to pick up from the Newport News office
Administrative Support
- Collaborate with team members to ensure smooth daily operations
- Provide additional support as needed to enhance overall client service
Confidentiality & Discretion
- Handle sensitive information with professionalism and integrity

Prior Experience Preferred, Not Required
- Experience in a receptionist or administrative role
- Real estate experience (agent, lender, investor, developer, title company, or law firm) is a plus
