The Executive Assistant/Grant Writer to the Executive Director provides high-level support to the Executive Director, serves as a liaison to the Board of Directors, and manages processes and production of materials related to the grant applications.

Job Duties
Executive Support
1. Serve as the primary point of contact for matters pertaining to the Executive Director’s office.
2. Provides support to the Executive Director in the development and maintenance of external partner relations and supports the cultivation of ongoing relationships.
3. Provide a full range of high-level executive administrative support by conducting research, reporting, handling information requests, and performing administrative functions such as preparing correspondence, meeting preparation, arranging conference calls, scheduling meetings, travel arrangement, tracking goals, projects, tasks, and deadlines, calendar management, and email monitoring.
4. Triage requests by receiving, relaying, and/or processing requests in a timely manner.
5. Attend and participate in required trainings and meetings.
Board Support and Liaison
1. Serve as the liaison to the Board of Directors and Board Committees by providing administrative tasks, which include agenda development, scheduling, distributing materials.
2. Attend all Board meeting and Board Committee meetings and ensure Board minutes are transcribed to official Board records and that all official records and corporate documents are maintained and properly secured.
Grants Management
1. Collaborate with the Executive Director and Leadership Team to identify funding federal and non-federal opportunities to maintain and enhance services and/or programs.
2. Responsible for researching, writing, compiling, submitting, and managing the timeline and deliverables for all grants including maintenance and oversight of workflow to ensure accurate and timely submission.
3. Collaborate with program, finance, and other staff to ensure all activities related to the grant data collection and reporting are smoothly implemented.
4. Manages the grant application and management process including identification of potential new funding sources, and development of funding resources for existing and proposed programs and/or services.
5. Responsible for receiving, analyzing, and summarizing material for the preparation of all grant reports.
6. Completes and submits all documents, forms, and reports as required by programs that are funded by federal, state, and local grants.
7. Monitors and manages grant portals to ensure timely reporting and submissions.
8. Ensures compliance with federal, state, and local grant regulations.

2. Be adaptable to change as this position evolves according to the organization’s success and workflow.
3. Manage all daily tasks and activities consistent with HIPAA, state and federal laws and regulations, as well as the corporate policies and regulations regarding confidentiality and security.

1. Develop and ensure effective, positive relationships within and among the clinical and administrative staff, as well as with patients, vendors, contractors, donors, and related resources.

POSITION REQUIREMENTS:
Education
· Bachelor’s degree in Business Administration, Grants Management, or similar field required or progressively responsible experience in Administrative Support, Grants Management, or similar field.
Professional
- Paralegal experience preferred
- Two years of high-level administrative experience.
- Excellent written and verbal communications skills.
- Demonstrated success in managing difficult situations.
- Ability to handle multiple responsibilities.
- Demonstrated success in general computer competence including Microsoft Office Suite and Adobe Acrobat, and the potential to be trained on specific software.
