Job Description:

Carawell Counseling, a growing and thriving counseling practice in the Arboretum area of South Charlotte,is seeking a Part-Time Administrative Assistant / Client Care Coordinator to join our team. This role offers the opportunity to grow into a larger management position within the practice as we expand.

We are looking for someone who is highly organized, tech-savvy, and experienced in administrative tasks, client care, and insurance billing.

Responsibilities:

  • Serve as the first point of contact for clients via phone, email, and scheduling systems.
  • Manage appointment scheduling, cancellations, and client communication.
  • Handle insurance verification, billing, and reconciliation of claims.
  • Oversee billing inquiries and ensure accurate and timely submission of claims.
  • Maintain accurate records and ensure all documentation is properly organized.
  • Collaborate with clinicians to ensure smooth workflow and scheduling.
  • Assist with marketing efforts, such as social media updates and email campaigns.
  • Handle administrative tasks, including tracking office supplies, preparing reports, and general office organization.
  • Support the growth and management of the practice as responsibilities evolve.

Qualifications:

  • Experience in an administrative or client care role (preferably in a counseling or healthcare setting).
  • Knowledge of insurance billing processes, claim reconciliation, and working with insurance portals.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with strict professionalism.
  • Tech-savvy, with experience using scheduling or practice management software, Electronic Health Record Systems and Microsoft Office Suite.
  • Empathetic, warm and professional in tone and approach.
  • Positive, team-oriented attitude and a willingness to learn.

Preferred Skills:

  • Experience in a mental health or medical setting.
  • Familiarity with social media and marketing tools a plus.
  • Interest in growing within the role and taking on more management responsibilities over time.

  • Part-time (5-10 hours per week to start), with the potential for additional hours as the role expands.
