POSITION: Clerical Specialist/Discovery Coordinator
DEPARTMENT: District Attorney
RATE OF PAY: $13.65 per hour
BENEFITS: Highmark BC/BS, Vision, Delta Dental and Life Insurance. (First of the month following sixty (60) calendar days)

OVERALL OBJECTIVE OF JOB: To perform specialized departmental clerical duties and responsibilities within the assigned department. A position in this class independently prepares, carries out and takes definitive action regarding processes and functions that are integral parts of the organization’s mission.
QUALIFICATIONS:
High school diploma or equivalency, must be able to obtain certified PA Evaluation License within 3 years from date of hire. 2 years working experience in real estate tax assessment, office environment, county government, or court system preferred.
ESSENTIAL FUNCTIONS OF JOB:
1. Manages an assigned caseload requiring independent assessment and judgment in determining appropriate action to take in individual cases.
2. Analyzes, reviews and organizes pertinent documents and reports of a case and is responsible for the compilation and certification of documents required by federal and state law.
3. Serves as the main point of contact person for all police agencies and defense counsel to request and receive discovery documentation. Reviews files to determine if additional discovery materials are needed to forward.
4. Coordinate and compile necessary lab reports and toxicologist and expert witness certifications for use at trial.
5. Create confidentiality by performing redaction of protected information contained in disseminated documents accordance with various laws, policies, and procedures.
6. Review all PACfile documents received by office, correlate documents received by urgency and importance and disseminate for appropriate legal action.
7. Utilize the Prosecutor’s Management System (PMS) and the Common Pleas Case Management System (CPCMS). Microsoft Word and Excel to create and processes required documents, forms, and reports.
8. Interact and coordinate with the Judiciary, Judicial Assistants, legal community, law enforcement, county and state agencies in performance of daily assignments.
9. Types letters, reports, memos and other documents.
10. Sorts, copies, processes and/or files documents, correspondence within the department. Retrieves material and updates information to computer database.

8. Must possess ability to learn assigned clerical tasks and adhere to prescribed departmental procedures.
9. Must possess ability to perform simple math calculations with accuracy and reasonable speed.
10. Must possess ability to learn county and legal rules, procedures and practices as necessary within department.
11. Must possess ability to be able to handle a variety of clerical duties and switch from one to another throughout the workday.
WORKING CONDITIONS:
1. Works indoors in adequate office space, lighting, ventilation and temperatures.
2. Works with average indoor exposure to noise and stress, but subject to frequent disruptions.
3. Below normal indoor exposure to dust/dirt.
4. Works with inmates, convicts and their families and may be subject to irate behavior.
PHYSICAL/MENTAL REQUIREMENTS:
1. Must possess ability to record, convey and present information, explain procedures and follow instructions.
2. Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking and occasional periods of bending, twisting, stooping, reaching as necessary to carry out essential job duties.
3. Dexterity requirements range from coordinated movements of fingers/hands for typewriter and computer, to simple dexterity of feet/legs/torso as necessary to carry out job duties.
4. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten (10) pounds.
5. Must be able to cope with the physical and mental stresses of the position.
6. Must be able to move frequently throughout the work day as needed to carry out essential job duties.
7. Must be able to pay close attention to details and concentrate on work.
