About the Job
The Office Manager will play an instrumental role in ensuring the efficient operation of the cardiology office by overseeing administrative functions, managing staff, and maintaining a positive patient experience. This position requires strong organizational skills, attention to detail, and excellent communication abilities. You will report directly to the Vice President of Operations. This position is estimated to start in June or July.
What you'll do:
- Oversee day-to-day administrative operations and staff of the Lynnwood office
- Manage scheduling of appointments, procedures, and consultations
- Coordinate patient registration, check-in, and check-out processes when necessary
- Maintain electronic health records (EHR) and ensure accuracy and compliance
- Handle insurance verification, billing, and claims processing
- Recruit, train, and supervise administrative staff, including receptionists and medical assistants
- Schedule staff shifts and ensure adequate coverage during office hours
- Conduct performance evaluations and provide feedback to staff members
- Foster a positive work environment and promote teamwork and collaboration
- Provide excellent customer service to patients, families, and visitors
- Address patient inquiries, concerns, and complaints in a timely and professional manner
- Ensure a welcoming and comfortable environment for patients during their visits
- Monitor inventory levels of office supplies, medical supplies, and equipment
- Coordinate orders and deliveries of supplies as needed
What you'll need:
- Associate degree preferred or equivalent experience
- 3-5 years' experience in office management of a healthcare practice
- Knowledge of medical terminology, billing processes, and healthcare regulations.
- Strong leadership and interpersonal skills.
- Proficiency in computer systems and software, including electronic health records (EHR) and Microsoft Office.
- Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
- Athena EMR experience preferred.
- Medical Assistant certification strongly preferred

You will work out of Lynnwood, WA office.
Additional Information
Full-time base salary range of $45,000 to $60,000 plus medical, dental, and vision.
