Our client, a global advisory-focused investment bank, is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to a team of strategic advisors. This role requires someone who thrives in a fast-paced environment, can work both independently and collaboratively, and has excellent communication and multitasking skills.
**Please note this is an open ended contract role with the opportunity for a temp-to-perm conversion. Pay will be $60-62/hr, to convert to $130k **
Key Responsibilities:
- Act as a gatekeeper for professionals, managing communications and building strong relationships with clients, investors, and internal teams.
- Coordinate complex calendars, schedule appointments, and confirm meetings with investors and clients.
- Arrange and set up conference rooms, including technology and refreshments for meetings.
- Greet and register guests, collaborating with reception as needed.
- Manage multiple phone lines, field calls, and communicate with clients on behalf of professionals.
- Attend team calls, review agendas in advance, and take detailed meeting notes.
- Draft, send, and respond to emails on behalf of executives; prepare additional correspondence as needed.
- Coordinate domestic and international travel, including flights, accommodations, transportation, and visas.
- Prepare and process expense reports, invoices, and reimbursements.
- Handle confidential documents with discretion.
- Maintain and update databases, including Outlook, CRM (Deal Cloud), and mailing lists.
- Manage mail merges and working group lists.
- Track fundraising schedules and maintain deal calendars.
- Assist in the preparation of deal books and road shows, ensuring accurate budgeting and logistics.
- Plan and coordinate events and road shows, including venue selection, vendor negotiations, invitation management, and promotional materials, in collaboration with the events team.
Qualifications:
- Highly motivated, detail-oriented, and able to work independently in a team environment.
- Strong proficiency in Microsoft Office (especially Outlook).
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and adapt to changing demands.
- Proactive mindset with the ability to anticipate needs and problem-solve effectively.
- Experience with Deal Cloud and Workday is preferred but not required
