Our employer, a leading provider of global medical transport and medical escort services, is seeking a Bilingual Spanish Patient Care Coordinator. This role is an integral part of the coordination team, responsible for managing all aspects of transport-related tasks. These include preparing mission quotes, booking travel arrangements, and reconciling expenses after case completion. The primary focus is ensuring the safe and efficient travel of patients and clinicians, all while adhering to company policies.
Duties and Responsibilities :
Maintain HIPAA compliance with protected health information (PHI).
Assist clients to determine the needs of the case and advise them appropriately on accommodations, modes of transportation, travel dates, and costs.
Coordinating all travel arrangements including airline ticketing, hotel reservations, and ground transportation, if applicable.
Maintain an open line of communication with the client and provide updates per protocols and as needed.
Ensuring customer satisfaction by carefully monitoring each case and navigating any changes or concerns that may arise.
Conduct research and liaise with government agencies having jurisdiction.
Advise clients on travel documents, including visas.
Process all case-related documents provided by the client and / or vendors.
Submit quotes in a timely manner.
Patient Intake and Information Gathering
Contact healthcare facilities to obtain medical information for client intake in the CRM.
Complete the intake process, gathering details on the patient’s condition, diagnosis, location, destination, and the requester’s contact information.
Sales and Client Support
Use sales techniques to guide clients toward choosing company services over competitors.
Follow up with clients to assess needs, recommend transportation options, and provide cost estimates.
Assist clients in selecting services and pricing to optimize transportation routes.
Negotiate rates with service providers, including ground transportation, when necessary.
Problem Solving and Decision-Making
Analyze information to determine the best solutions to client needs.
Evaluate the importance and quality of details relevant to each situation.
Provide timely assistance for travel disruptions (e.g., missed connections, weather issues).
Quality Assurance and Compliance
Perform daily quality checks to ensure tasks are completed across all departments.
Verify that all processes comply with laws, regulations, and company standards.
Ensure adherence to travel procedures, including transportation, accommodations, and payment collection.
Qualifications :
Associate degree or higher required with a bachelor’s degree preferred.
Must be bilingual Spanish
Must have (1) year of experience in a similar role in healthcare
Must be able to work as part of a team in a fast-paced environment, willing to adapt quickly to changing policies based on patient requirements and communicate effectively with both colleagues and clients.
Must have a working knowledgeof search enginessuch as Google, Edge, etc.
Must have a working knowledge of computer information systems, including Microsoft applications.
