Office Manager Job Description

Tasks That Will Need To Be Performed:
QuickBooks – enter expenses, mileage, invoices, payments, run reports, including weekly past-due report, sending out statements, and collections on past due accounts

Excel – gather information for filling in monthly referral and placement numbers

Phones and scheduling – answer calls on main line, schedule appointments, tours, meetings with team members and put pertinent information in Google calendar

Calculated Care Program – enter information on clients, providers, marketing contacts, run weekly open client report for Care Transition Managers, and update pricing

Client Follow-up – make calls or email clients who have been placed after the initial follow-up done by owner, collect testimonials

Social Media – update and send out monthly newsletter through Constant Contact

Other - organize files and stockroom, make up folders for marketing, create systems and best practices to make the office run more smoothly and to provide greater support for owner and/or team, keep business guidelines updated, order collateral, and any other tasks as required

Skills Needed:
✔ Customer Service Skills
✔ Strong writing skills – including correct grammar and punctuation
✔ Strong verbal communication skills
✔ G Suite skills – including Drive, GMail
✔ Strong organizational skills
✔ Self-motivated – ability to find out what needs to be done and determine the best way to get it accomplished
✔ Knowledge of social media

Salary will be determined based on the experience of the candidate. Opportunities to grow! The hours are M-F 9:00 to 5:00 PM. With weekend on call every 8 weeks.

Job Types: Full-time, Part-time

Pay: From $20.00 per hour

Expected hours: 35 – 40 per week
