Job Summary: The Accounts Payable Specialist at Carfive, our automotive dealership, plays a crucial role in managing the financial obligations of the organization. This position is responsible for processing invoices, issuing payments, reconciling accounts, and maintaining strong vendor relationships. The Accounts Payable Specialist ensures accuracy, timeliness, and compliance with company policies and procedures.
Responsibilities:
- Invoice Processing and Verification:
- Receive and review invoices from vendors for accuracy, completeness, and adherence to purchase orders or contracts.
- Verify invoice details such as quantities, prices, and terms before processing for payment.
- Payment Processing:
- Prepare and process payments to vendors through checks, electronic transfers, or other methods according to established payment terms and schedules.
- Ensure all payments are properly authorized and documented in compliance with company policies.
- Vendor Communication and Relations:
- Maintain professional and responsive communication with vendors regarding invoice discrepancies, payment inquiries, and other financial matters.
- Resolve any issues or disputes related to invoices or payments promptly and efficiently to maintain positive vendor relationships.
- Expense Coding and Recording:
- Accurately code expenses and allocate costs to appropriate general ledger accounts or cost centers.
- Enter and maintain accounts payable data in Carfive's accounting system or ERP software with attention to detail and accuracy.
- Reconciliation and Reporting:
- Reconcile accounts payable transactions with vendor statements and internal records regularly to ensure accuracy and completeness.
- Prepare reports and analyses related to accounts payable status, aging, and cash flow projections for review by management.
- Compliance and Documentation:
- Ensure compliance with company policies, procedures, and accounting principles, as well as legal and regulatory requirements.
- Maintain organized and up-to-date documentation and records related to accounts payable transactions, approvals, and audits.
- Month-End and Year-End Activities:
- Assist in month-end closing activities, including accruals, adjustments, and reconciliations specifically related to accounts payable.
- Support annual audits by providing accurate and timely information and responding to auditor inquiries as necessary.
- Process Improvement and Efficiency:
- Identify opportunities to streamline accounts payable processes, enhance efficiency, and reduce costs while maintaining high standards of accuracy and quality.
- Implement best practices and leverage automation tools to improve productivity and effectiveness in accounts payable operations.
- Team Collaboration and Support:
- Collaborate effectively with colleagues in purchasing, finance, and administration departments to resolve issues, improve processes, and achieve organizational goals.
- Provide support and assistance to team members and management as needed, fostering a positive and collaborative work environment at Carfive.
Additional Responsibility: Assist with Accounting Overflow
- Upload Credit Card Receipts from Sales and Service Team:
- Collect and upload credit card receipts from the sales and service teams into Tekion.
- Ensure receipts are accurately recorded and categorized according to company policies and accounting standards.
- Scanning Completed Deals into Tekion:
- Scan and upload completed deals into Tekion, to ensure timely and accurate record-keeping.
- Verify deal documentation for completeness and accuracy before uploading.
- Journal Entries Related to Repair Orders:
- Assist in preparing and entering journal entries related to repair orders into Tekion.
Ensure that entries are accurate and properly documented to facilitate financial reporting and analysis.
