Assist with:
Risk-management and loss-prevention activities
- Provides essential accounting support, including vendor and invoice management, bill pay functions, and financial reconciliation for the Carl Sandburg College Foundation. Serves as a resource for the Carl Sandburg College Foundation, supporting donor and alumni events, maintaining donor records, and fostering positive interactions with key stakeholders and campus colleagues.

- Principal Working Relationship: Chief Advancement Officer, acting Chief Financial Officer, Assistant Manager of Advancement, and Assistant Manager of Alumni Engagement and Advancement Communications
- Work with the Chief Advancement Officer and acting Chief Financial Officer with the processing of general accounting functions and constituent data entry including processing bill payments, vendor and invoice entry, and organizing bills to pay.
- Ensures that accurate information is entered into appropriate Raiser’s Edge and Financial Edge, and other Foundation software.
- Coordinate and maintain files and records related to donations, accounts payable, and general accounting functions.
- Analyze data to understand if a potential donor is financially able and likely to donate
- Distribute and record pertinent donor information in Raiser’s Edge
- Aid in event logistics, including scheduling, venue arrangements, vendor coordination, and post-event follow-up with the organizing team member.
- Process event registration and create receipts for the charitable portion if applicable.
- Collaborate with college colleagues across all departments to meet Foundation and college goals.
- Attend events as needed and help facilitate check-in, clean-up, etc.
- Attend educational conferences and/or opportunities to grow capabilities and share with the Foundation team.
- Other duties as assigned.
Assist with:
- reconciling financial records and maintaining accurate documentation
- accepting and depositing cash funds.
- issuing receipts and maintaining donor records accordingly
- ongoing data cleanup tasks.
- with scanning and copying documents as needed.
- gathering information about potential donors, including their background, wealth, and philanthropic history
- preparing prospect, giving, and major gift tracking reports.
- the planning, setup, and coordination of donor, alumni, and other Foundation-related events
- preparation and organization of Foundation meetings, including room reservations, work order placement, and catering requests for board meetings and committee sessions.
- cross-training Foundation team members to provide support as needed for accounting functions and specific scholarships or programs.
Risk-management and loss-prevention activities
- Maintain a working knowledge of the college’s emergency procedures and actively participate in the college risk-management program.
- Monitor conditions, events and circumstances that present risk to the college community. Intervene and/or report as specified in the college’s risk-management plan.
- Associate degree in accounting, business, finance or related field or 60 hours college credit or 2 years related work experience required. Bachelor's degree in related field preferred.
- Excellent verbal and written communication skills.
- Accounting experience in a community college or university, or nonprofit organization preferred
- Knowledge of general accounting principles and payroll accounting preferred.
- Strong computer skills including word processing, database management, spreadsheets, and use of automated systems
- Experience in Raiser’s Edge and Financial Edge NXT or similar fund accounting software and endowment management software preferred.
- High degree of accuracy and analysis, mathematical, and problem-solving skills.
- Ability to maintain discretion with sensitive and confidential information
- Ability to manage and prioritize multiple projects in a fast-paced, dynamic environment
- Flexibility to occasionally work outside regular business hours for event support.
- The ability to communicate successfully both verbally and in writing with clients without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
- Must hold a valid Driver's License.
- Spanish or French proficiency preferred.
- Basic dexterity skills (computer work, telephoning, and other office equipment).
- General physical effort required includes sitting, bending, reaching, and some lifting (20lbs or less) and the ability to place a work order for anything over that limit
- Operation of a motor vehicle as required for travel related to position responsibilities.
Salary : $36,840 - $40,710
