Administrative Assistant Part-Time

SCHEDULE: Part-time schedule, 20-25 hours per week.
Business hours are Monday through Friday, 7:30 am to 4:30 pm.
PAY RATE: $16.67 – $23.78/hour, dependent on experience
POSITION SUMMARY: The Administrative Assistant serves as the principal contact and resource for details on the Borough’s Solid Waste and Recycling Program, providing assistance to residents by responding to service requests, routing information, and handling complaints or problems. They also assist with educating residents, businesses, and staff about the solid waste and recycling program; therefore, strong communication skills are required.
The Administrative Assistant provides exceptional customer service and is expected to uphold the public interest and advance the vision set forth by the Borough and community.
ESSENTIAL DUTIES & RESPONSIBILITIES: The essential functions may include the customary duties and responsibilities noted herein, however, the information below is not an exhaustive list of duties and instead serves as a representative sample of the expectations of the position.
- Serves as the principal contact and resource for details on the Borough’s Solid Waste and Recycling Program; provides assistance to customers by responding to service requests, routing information, handling complaints or problems, and making necessary adjustments to collection schedules; assists with educating residents, businesses, and staff about the solid waste and recycling program.
- Ensures adherence to the Borough contract and applies for annual DEP Act 101 Recycling Grant; acts as the liaison between the Borough and the Borough’s solid waste and recycling contractor(s).
- Performs data entry into Excel spreadsheets, website databases, GIS, and other information systems for a variety of tasks and projects such as roadway inventory, traffic signal asset management (TSAMS), and water service line material identification; generates and sends reports to appropriate staff or agencies.
- Processes a variety of paperwork such as grant administration and coding of invoices for payment.
- Assists with tracking budget expenditures, data entry, and projections.
- Tracks resident and staff requests/work orders; may assist with coordinating responses and communication with residents.
- Processes daily mail, faxes, and filing, and performs other duties or assists other departments as assigned.
MINIMUM REQUIREMENTS AND QUALIFYING CRITERIA: An equivalent combination of credentials and experience to sufficiently perform the duties of the position may be considered:
- Must be at least 18 years of age.
- High school diploma or equivalent.
- Minimum 5 years of proven customer service experience.
- Entry level experience with Microsoft PowerPoint.
- Intermediate knowledge of Microsoft Excel, and Adobe Products (PDF editing).
- Proficient in Microsoft Word and Outlook.
- Valid PA driver’s license.

PHYSICAL DEMANDS/WORK ENVIRONMENT: The physical demands described
below are representative of those required for the position.
· Work is performed primarily indoors in an office environment.
· Walking, standing; stooping, kneeling, crouching, bending, reaching, pushing, pulling, and lifting up to 20 pounds.
· Use hands to handle, grasp, type and write.
