What are the responsibilities and job description for the Office Administrative Assistant position at Carlisle Companies Incorporated?
Hours: M-F 8:00 AM – 12:00 PM or 9:00-1:00 PM - Fully in Person required.
Schedule may adjust based on business requirements
The ideal Office Assistant candidate will be a hard-working professional able to undertake a variety of office support tasks. This person will be comfortable working with all levels of employees with a high degree of attention to detail and discretion.
Duties include, but not limited to the following:
- Represent company while greeting/directing visitors, external vendors, or partners.
- Maintain the general appearance of common areas and place maintenance requests with vendors as needed.
- Distribute mail and packages to personnel.
- Assist with packaging and shipping utilizing various shipment methods.
- Retrieve and redirect voice mails, left in company mailbox, to employees or reply to callers as needed.
- Assist with onboarding of new hires by preparing workspaces, taking badge photos, updating lists, providing an office tour, ordering business cards, and making general introductions.
- Prepare and submit monthly expense reports.
- Assist with development and maintenance of efficient filing or binder systems.
- Manage and maintain office supply inventory.
- Monitor postage and replenish funds.
- Clear out refrigerators and de-ice freezers.
- Initiate, coordinate, and complete special projects.
- Provide meeting support by setting up room, ordering meals, setting up, and cleaning up room.
- Prepare training completion certificates and send to the participants.
Experience Required:
- At least two years of administrative experience in a corporate environment.
Skills/Abilities:
- Able to work and network effectively with all levels of management, company associates, external contacts, and vendors.
- Requires diplomacy, poise, and tact.
- Must be organized, flexible, detail oriented and possess strong work ethic.
- Flexibility: Adaptive to frequent changes in priorities, organization and strategy; flexible to deadlines with short lead times
- Able to multi-task, prioritize and manage assignments.
- Excellent follow through skills and willingness to learn.
- Able to work independently and part of a team.
- Excellent oral and written communication skills
- Proficient with MS Office (Outlook, Excel, Word, and PowerPoint), MS Teams, and beginning knowledge of editing simple documents within Adobe PDF.
- Able to lift packages up to 25 lbs.
Salary : $20 - $23
