LEGAL SECRETARY TRAINEE
We are seeking a professional and experienced Legal Secretary Trainee to join our dynamic team!
For over 168 years, Carlsmith Ball LLP has continued its tradition of providing top-notch legal services to a wide range of local, mainland, and international clients. As a multi-service law firm with offices located on Hawaii Island, Maui, and Oahu, we practice in a variety of areas including Real Estate and Land Use, Corporate and Business Formation, Tax and Estate Planning, and Civil Litigation.
Responsibilities include:
- Preparing, revising, and formatting legal documents and correspondences.
- Filing documents in various courts (Circuit and Land courts) and with the Bureau of Conveyances and DCCA.
- Calendaring and reminding attorneys of events and deadlines.
- Organizing and maintaining paper and electronic files utilizing document management system.
- Performing various accounting and administrative tasks (e.g., entering timesheets, following up on client billing matters, scheduling appointments, processing mail, etc.
- Communicating with clients and others by phone and email.
Minimum Qualifications:
Education: High School Diploma or equivalent.
Experience: Three (3) years administrative/secretarial experience (i.e. banking/teller experience, insurance adjuster/underwriting admin, escrow admin assistant). Must type at least 65 wpm.
Preferred but not required: knowledge of document management programs, and experience in PowerPoint.
Skills:
- Excellent organizational skills to manage multiple tasks and prioritize workload effectively to meet deadlines.
- Exceptional proofreading skills and attention to detail to ensure accuracy in legal documents and correspondence.
- Must be computer literate - MS Word - Intermediate to Advanced skills; Outlook - Intermediate to Advanced skills; Excel - Basic to Intermediate skills.
- Willing to learn new applications.
- Excellent verbal and written communication skills.
- Strong administrative and clerical skills to provide comprehensive support to attorneys.
- Dependable with strong work ethic.
- Able to work independently and collaboratively - self-starter with ability to multitask.
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
