A mid-size law firm (8 attorneys) located in Old Town Manassas has an immediate opening for an experienced office manager/bookkeeper to manage the day-to-day operations of the law office. The ideal administrator will be enthusiastic, organized, and approachable by lawyers and staff. This position will require in-office, 40 hours per week, Monday to Friday. Training will be provided. Friendly office atmosphere, professional but relaxed. Our ideal candidate has at least 3-5 years of experience working in a law firm. Knowledge of Tabs3 Software and Quick Books is a plus.
Responsibilities:
- Organize and manage assignments and coverage of support services.
- Prepare expense and trust account checks; perform other light accounting functions as needed.
- Participate in the annual budgeting process; operate within expected financial guidelines and budgets.
- Plan office special events, meetings, and community service initiatives.
- Interact/pay firm’s vendors
- Invoicing of firm’s legal bills.
- Maintain e-files and physical files according to company procedures, including scanning and posting of all client billing, to ensure proper file compliance
- Input billing, accounts receivable, payroll, 401(k), bank deposits
- Manage tax documents including 940s, 941s, W2s, W3s
- Applicant will be working with the managing partner and be able to reconcile bank accounts, perform accounts payable, make deposits and other bookkeeping duties, including case settlements and distributions.
Skills and Qualifications:
· Previous experience in a legal or professional services environment strongly preferred.
- Able to prioritize multiple tasks
- Very thorough and detail-oriented Self-motivated and able to perform tasks with little to no supervision
- Ability to use firm’s software (Tabs3) to input data into files and post payments.
· Ability to work well under time constraints and pressures.
· Strong attention to detail and excellent organizational skills
· Possess advanced computer skills, including knowledge of QuickBooks 2022, MS Office and Outlook, Word, Excel, the ability to learn new support systems and processes quickly and efficiently
