Work schedule: Monday- Friday 7am-4:00pm MUST be willing to be flexible as jobs may change
Position Responsibilities of the Service Coordinator:
- Answer incoming calls, emails and all communications regarding service and/or warranty questions.
- Review tickets sent in by builders daily.
- Coordinate response and delivery of received information to field staff.
- Coordinate with admins on any permit/inspection requirements.
- Dispatches and deploys staff, vehicles, and/or units based on communications received.
- Adeptly uses multi-line telephone systems, mobile phones, and other communication methods and networks.
- Coordinate with the builder(s) or homeowner(s) on scheduled work to be completed.
- Enters jobs into job costs, set up customer information, enter initials into contracts and enter work to be completed into service management.
- Maintain records on all service and warranty work.
- Enforce and oversee that all service technicians collect for services rendered (when applicable).
- Forward any builder responsible service invoices directly to the builder.
- Collect any outstanding service account receivables.
- Coordinate with team to ensure any service emergency is scheduled and properly handled.
- Coordinate with builders regarding items for weekly installation such as lights, fixtures, and smoke detectors.
- Coordinate and schedule "On-Call" service and weekly rotation.
- Call to confirm appointments with homeowners.
- Assist payroll with technician’s time sheets.
- Manage multiple service calendars.
- Additional duties as assigned.
Minimum Experience and Qualifications of the Service Coordinator:
- High School Diploma or GED Equivalent
- Administrative/Clerical experience required
- 1-2 Years of relevant service dispatch, installation, and administrative experience
- Prior experience with a service management software system
- Experience with Microsoft Suite - Word, Excel and PowerPoint is a must
- Must be able to communicate effectively, clearly and concisely
- Must be an outgoing team player and able to work well within a collaborative environment
- Must have experience with local municipalities’ permitting and inspections processes
- Must adhere to company screenings
Physical Requirements of the Service Coordinator:
- Must be able to adhere to large amounts of sitting
- Must be able to speak English and hear to communicate
