Job Summary:

The HR Administrative Assistant supports and works under the leadership of the Human Resources Director and provides the needed support in the human resource capacities including but not limited to the areas of administrative duties. Strong work ethics and integrity are necessary to handle confidential information. Performs other duties and functions as assigned by the HR Director. This individual will embody the Carolina Country Employee Mission and Absolutes.

Job Functions include:

  • Ensures all employee records are handled with utmost confidentiality; maintains employee medical files and I9 forms, ensuring files are secured at all times, upholds HIPAA regulations and E-Verify.
  • Will maintain I9 records for accuracy and pulling termed employees for retention.
  • Will perform sporadic audits, as directed by the HR Director.
  • Prepares employee files for scanning and/or storage to third party.
  • Clerical duties such as filing, organizing files, record retention, as assigned by HR Director.
  • May assist hiring managers with screening applicants, reference checks, as initial contact as directed by HR Director.
  • Assists with training initiatives, as directed by HR Director.
  • Assists with reviewing and updating employee job descriptions as needed for consistency.
  • Serves as backup with onboarding, including new hire orientation, new hire kits, processing new hires into HRIS system, processing E-Verify for Federal compliance in a timely manner to meet the needs of every department.
  • Follow up with new hires within first week of hire to ensure smooth transition and answers any questions and communicates with hiring manager, if needed.
  • Assists with employee surveys from creation to data analysis and reporting.
  • With high proficiency in HRIS system, enter and maintain employee recordkeeping, learning and being responsible for modules as directed by HR Director.
  • Assist all employees with work related questions, as requested.
  • Assists with the annual health & wellness fairs, forums, volunteer services, and events with various vendors throughout the year.
  • Assist with monthly service awards luncheons, celebrations, and other employee activities
  • Assists in updating the employee handbook and personnel-related policies; assists in the management of the Clubs progressive discipline program; maintains club policy manual and enforces throughout the club.
  • Interact with all levels of the Club operation, from hourly associates to the Dept Heads
  • Assists with all work-related injury claims to ensure integrity, on-going case management and reporting compliance.
  • Assists with FMLA & ADA paperwork to employees by preparing the necessary paperwork
  • Maintains & prepares the Survey of Occupational Injuries and Illnesses for BLS, Form 300/300A and other related data. OSHA compliant.
  • Assists with the Team Newsletter, creating and publishing each month.
  • Create reports as necessary for billing of Background Checks by department and submits timely to accounting each month.
  • Creates other reports, as directed by HR Director.
  • Maintains employee bulletin boards in the cafeteria with updated materials such as OSHA form 300A, current Federal documentation/posters, employee recognitions, job postings, and special announcements.
  • Responsible for the Essential Piece Program, communicating the nominees to the voting committee and following through with announcing the candidates.
  • Attends educational webinars/seminars and conferences as selected by HR Director to further HR education.
  • Learning all aspects within HR initiatives, as time and experience permits.
  • Assists in receiving and placing Shoes for Crews orders and submits to the accounting department for payroll deductions in a timely manner.
  • Completes employment and wage verifications in a timely manner.
  • On-going training to employees on Paycom usage and other programs.
  • Other duties as assigned by the Human Resources Director.
  • Communicates effectively with the Human Resource Director/Coordinator on all initiatives.
  • Completes required computer-based training courses within the required time frame.
  • Is responsible for knowing CCC Employee Policies and working by the CCC Mission Statement.

  • Minimum 1year of experience in human resources or college major in HR
  • Must be able to communicate, train, motivate and work well with employees at all levels
  • Must be detailed oriented, be able to work under extreme pressure, meet deadlines, receive direction and have the ability to diffuse difficult situations that may arise and remain unbiased, professional and friendly at all times
  • Proficient with computers, office equipment, HRIS programs and software to include Microsoft Word, Excel, PowerPoint, Publisher.
  • Job duties will require the employee to sit for long hours in front of the computer
  • Capable of standing and maneuvering independently and safely around the work area
  • Ability to see and hear, or to use prosthetics that will enable these senses to function adequately to assure that position requirement can be fully met
  • Ability to read, write, speak and understand English.
  • Sound mental and physical health: ability to get along well with others, to demonstrate a high level of sensitivity and interest in people
