EDUCATION/EXPERIENCE:
- Bachelor’s Degree from an accredited institution
- Three (3) years of related experience
- Qualifications may vary from the above requirements to such a degree as the Superintendent &
Board determine is necessary and appropriate to ensure properly qualified personnel in each specialized assignment.
GENERAL PURPOSE:
The purpose of the Student Data Systems Coordinator is to oversee the Student Information System (SIS) operations and provide support and training to school staff. Support and coordinate the collection, input, auditing and reporting of system data. Obtain and distribute information from the Virginia State
Department of Education relative to all required data systems. Position also supports other responsibilities as they pertain to the Technology Department’s oversight.

ESSENTIAL DUTIES (OR YOU CAN USE PERFORMANCE RESPONSIBILITIES):
- Oversee the Student Information System (PowerSchool/Teacher)
- Ensure that updates are installed for PowerSchool as well as the VA pages
- Provide training on PowerSchool to attendance clerks, guidance counselors and other users needing assistance
- Assist registrars with the correct data entry guidelines that the state of Virginia requires
- Create templates in PowerSchool to pull various information for different programs
- Oversee the SIF server and make sure the student info is being exchanged with the Student
Locator Agent for VDOE as well as the ZIS to connect other programs to make data exchange seamless
- SIF programs include Destiny (Library Program), Café Enterprise (Nutritional Service program) & Student Locator (VDOE)
- Export student information as needed for the following; IEP Online (Sped. Program),
Performance Matters (student assessment software.), Trapeze (transportation software),
MajorClarity (college readiness & Career planning), Focus Fitness ( WellNet)
- Upload data to include: student email addresses in two fields in PS that are used for Schoology accounts & Clever accounts; student picture files to PS and make them available to Data Business
to use in the Nutritional Service software; Bus #’s several times a year as they are updated and sent to me by transportation; EIMS student data into Pearson Access to be able to register students for SOL testing
- Ensure that all departments, including but not limited to: Nutritional Service (free and reduced lunch), special education, CTE, and federal programs have entered the correct and current information into PowerSchool for accurate state reporting as well as accurate data for SOL uploads
- Create reports to include: Principal’s Report to the Superintendent to Finance department as well as Nutritional Services for monthly ADM & ADM updates; RC (student record collection) state reports; MSC (Master Schedule Collection); assist the Special Education Department with their
December 1st State report
- Manage students in EIMS Pearson Access Virginia
KNOWLEDGE, SKILLS & ABILITIES:
- Requires the ability to use computers for data entry and for word processing and to work in various file formats (particularly Microsoft Excel)
- Knowledge of State and Federal reporting requirements, timelines and updates
- Knowledge of the student database systems and software applications utilized by the division
- Knowledge of database structures, on-line applications and system capabilities of assigned computer systems; client-server applications (SQL Server); maintenance and support
- Ability to support record retrieval and storage systems
- Ability to utilize excellent written and oral communication skills
- Ability to effectively work independently and create and maintain working partnerships with
LEA administration and staff
- Ability to modify existing programs and procedures to improve reporting and record maintenance
- Ability to type or input data accurately and according to project timelines
- Possess interpersonal skills using tact, patience and courtesy; establish and maintain cooperative and effective working relationships with others
- Learn, interpret, apply and explain applicable laws, codes, regulations, policies and procedures applicable to Student Information Systems
- Ability to disaggregate, analyze and format data
WORKING CONDITIONS & PHYSICAL REQUIREMENTS:
- Work environment is primarily inside, where the noise and temperature levels are moderate.
- The work is light work which requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects.
