Position Responsibilities
- Assist in pulling together design team estimates and tracking proposal schedules.
- Handle initial project setup, ensuring proper documentation and data entry.
- Work with design departments and project controls to input forecasting data for design-build projects.
- Assist in resource management tracking and provide project status updates.
- Collaborate with contract administrators to issue design contracts to outside consultants.
- Coordinate with accounting to distribute monthly billings to OPS projects.
- Coordinate with accounting to allocate costs between design departments.
- Assist with pricing, tracking change orders, and monitoring costs with OPS and between design departments.
- Provide administrative support for VDC, structural, design management, and architectural teams.
- Monitor project schedules and milestones to ensure deadlines are met.
- Generate and distribute project reports to stakeholders and management.
- Maintain risk and issue logs, ensuring all project concerns are properly documented and addressed.

- Bachelor’s degree in Business Administration, Finance, Construction Management, or a related field (preferred).
- Associate degree or relevant certification in project management, accounting, or document control (considered).
- Equivalent work experience in project administration or controls may be accepted in place of formal education.
- Experience with cost tracking, invoicing, and financial coordination.
- Strong organizational and multitasking skills to manage project documentation and workflow.
- Ability to maintain, update, and manage project-related documentation.
- Strong attention to detail and ability to work in a fast-paced environment.
- Excellent communication skills to coordinate across multiple teams and departments.
- Proficiency in project management software and Microsoft Office Suite.
