Who We Want
The Director of First Impressions (DOFI) will be primarily responsible for representation at the front reception area at Carson Headquarters in Omaha, NE, with secondary administrative assistance as directed by the Director of Executive Administration. The DOFI is a key role charged with setting the tone for the Carson, as they will be the first and last person guests and stakeholders (employees) see when in the building. This individual is instrumental in ensuring visitors have a positive experience while being proactive and capable of performing multiple tasks simultaneously, involving a variety of projects efficiently and accurately. Some qualities of an ideal candidate might include someone who is energetic and able to portray a positive and encouraging outlook no matter what the events of the day bring. This individual would possess excellent communication and social skills and is someone who finds joy in connecting with others and building relationships. S / he should embody a deep care factor and take pride in their work. Adept with standard office technology (phones, computer, common applications), polished phone etiquette, service oriented, and good time management skills. This role will work closely with a growing team of Executive Assistants who support the executives of the firm. S / he must be a willing and motivated member of the team, working together to support the outcomes and mission of the business. This is an entry-level to associate-level role that allows for opportunities for development. Assigned tasks will reach across all departments, allowing access to a wide range of leaders and variety in his / her scope of work.
What To Expect
- Provide main coverage for the front desk and lobby. Staffing of the front desk is required at all times during regular business hours, 8am-5pm Monday through Friday. Work with team to establish coverage for lunch, breaks, time off, etc. We are team focused with several individuals cross-trained for coverage in order to provide reasonable flexibility; however, it is extremely important this individual is committed to providing consistent and reliable attendance during the standard work hours.
- Greet stakeholders, clients, and direct guests with exceptional customer service and providing a comfortable, welcoming environment.
- Serve as an ambassador for Carson HQ and Carson culture. Strive to become an expert of all the ins and outs of the building and be familiar with all departments and processes to serve stakeholders and visitors confidently and effectively.
- Secondary in triage of incoming phone calls. The main line is primarily answered by the Director of First Impressions for Carson Wealth. Route inquiries to the appropriate department or stakeholder or take messages as needed.
- Serve as primary reception for mail and package deliveries. Sorting and distribution of mail is not a primary responsibility; however, this role will provide back-up coverage and will be trained on the process. Notify appropriate stakeholders when mail and packages are received.
- Uphold confidentiality and professionalism in all communications
- Maintain a professional and clean reception area. Manage deliveries timely to reduce visual clutter and utilize designated areas for lunch deliveries, guest luggage, and other items that flow through reception.
- Assist with general building security, ensuring no one enters without a badge or a designated escort. Distribute and track temporary access badges. Follow protocols to keep badges secure.
- Assist with administrative tasks as assigned by the Director of Executive Administration, providing additional support to the Executive Team during high volume times. May assist with expense reporting submission or approvals.
- Primary scheduling coordination for Home Office Visits (HOV). Work closely with the Business Development Team and National Sales Director to facilitate exceptional HOV experiences.
- Provide back-up coverage for the Carson Wealth Director of First Impressions with activities such as correspondence, mail, delivering gifts, shipping, postage and other items.
- Serve as a Floor Captain. A Floor Captain is a volunteer position that acts as a coordinator and director in the event of any situation or emergency requiring stakeholder responses. Events may include, but are not limited to, fire, electrical outage, severe weather, medical emergency, and security threats. First Aid and CPR / AED training is provided by Carson.

Salary : $50,000 - $66,200
