Who We Want
We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to our executive team. Primary functions of this position include serving as primary direct support for C-level executives, managing schedules, coordinating meetings, handling confidential information, and serving as a key point of contact for internal stakeholders and external strategic relationships. Some qualities of an ideal candidate might include someone who possesses excellent communication skills and strong listening and comprehension skills. S/he should embody a deep care factor and take pride in his/her work. Adept with standard office technology (phones, computer, common applications), exercises discretion and confidentiality, and has high emotional intelligence (EQ). This role will work closely with a team of Executive Assistants who support the C-level executives of the firm. S/he must be a willing and motivated member of the team, working together to support the outcomes and mission of the business. Assigned tasks will reach across all departments, allowing access to a wide range of leaders and variety in his/her scope of work.
What To Expect
- Manage and optimize calendars for multiple members of the Executive Leadership Team, scheduling meetings, appointments, and travel arrangements
- Organize and coordinate meetings, including agenda setting, minutes documentation, and follow-up actions. Attend and facilitate meetings as directed.
- Handle confidential and sensitive information with utmost discretion. Assess priority and time sensitivity of correspondence received.
- Plan and execute executive-level and department-level leadership events, including creation and distribution of invites, agendas and meeting materials, space logistics, meal coordination, etc.
- Prepare monthly expense reports for assigned executives and leaders; review and approve expense reports on behalf of the executive for their direct reports.
- Crosstrain for back-up and break coverage for the Director of First Impressions, covering the front desk reception area for Omaha HQ.

- Strong problem-solving skills and attention to detail.
- Utilize proficiency in all Microsoft Office programs in a cross-functional manner.
- General knowledge and understanding of how to operate within a departmental budget and be a good steward of company resources.
- Must be able to work both independently and in team environment and make informed decisions.
Preferred Education and Experience
- Bachelors degree in Business Administration, Communications, or a related field preferred. Equivalent experience may be considered in place of a degree.
- 5 years experience Executive Assistant or similar role, directly supporting C-suite or high-level executives.

The total rewards expected for this role include:
- Starting annual base salary between $65,000 - $86,575.
- Variable compensation potential (Bonus and/or commissions)
