Finance Manager
Position Overview:
Carter G. Woodson School is seeking an experienced and dynamic Finance Manager to lead and oversee the school’s financial operations. This key leadership role ensures fiscal accountability, strategic financial planning, and compliance with regulatory requirements while supporting the school’s mission to foster academic excellence and growth.

Key Responsibilities:
Budget & Financial Management:
- Collaborate with the Senior Executive Director and Board of Directors—Finance Committee to develop and manage the school’s annual budget.
- Analyze and present detailed financial reports during monthly Board meetings, including updates on departmental activities, challenges, and actionable recommendations.
- Oversee school purchasing processes, vendor management, and staff procurement requests.
- Ensure timely and accurate recording, reconciliation, and coding of financial transactions, including receivables and payables.
- Manage credit card usage and business accounts, ensuring compliance and daily monitoring.
- Partner with third-party financial service providers to maintain regulatory compliance.
- Lead and manage the school’s annual audit process, working closely with external auditors.
- Oversee tax filings, treasury functions, and the maintenance of insurance policies, including workers' compensation and liability coverage.
Payroll Management:
- Partner with the HR Manager and third-party vendors to oversee all payroll functions.
- Prepare and process semi-weekly payroll, ensuring accuracy and efficiency.
- Manage payroll entries for special programs such as Before/After School, Saturday School, and Summer School.
- Handle payroll adjustments, including changes for new hires, terminations, and benefit updates.
- Reconcile monthly payroll reports and pre-processing reports for approval by the Senior Executive Director.
School Contractor Payments:
- Communicate and distribute the annual contractor payment schedule.
- Process contractor payments and verify invoices for accuracy and proper documentation.
- Confirm account coding and reconcile balances prior to payments.
Federal Program Compliance:
- Collaborate with the Compliance Officer to track and manage federal funds in alignment with program requirements.
Challenges of the Twenty-First Century Program:
- Process and distribute checks, record financial transactions, and reconcile bank statements.
- Ensure timely filing of IRS and audit documents.
PMR Reporting:
- Review monthly PMR reports to ensure accurate student counts and enrollment data.
- Verify student addresses and enrollment data prepared by the Registrar.
- Submit reports to the local school system for payment and reconcile deposits.
Additional Responsibilities:
- Partner with the transportation supervisor to maintain vehicle titles and tags.
- Assist in the preparation and submission of quarterly and annual tax reports.
- Maintain strong relationships with benefit vendors, ensuring timely payments.
Key Qualifications:
- Bachelor’s degree in finance, accounting, business administration, or a related field (CPA or MBA preferred).
- 3-5 years of financial management experience, preferably in an educational or nonprofit environment.
- Must be a self-starter who takes initiative and performs appropriate and timely due diligence as it relates to financial matters.
Compensation:
Commensurate with experience.
