Job Summary:

The RHS Unit Clerk is responsible for general administrative duties, greeting and directing residents and visitors, maintaining Resident’s files, data entry for Wellness Clinic tracking logs, provides monthly billing reports to accounting in a timely manner, and assists with In Home Care staff scheduling and service requests during normal business hours as needed. Also follows all Casa policies and procedures as outlined in the Employee Handbook.

Who you are:

  • High school diploma required.
  • Demonstrated proficient use of MS Excel.
  • Demonstrated proficient use of MS Word.
  • Demonstrated experience with Databases.
  • Demonstrated strong verbal and written English communication skills.
  • Demonstrated team player, with positive attitude.
  • Demonstrated ability to set and meet deadlines.
  • Demonstrated ability to work independently with minimal supervision.
  • Demonstrated exemplary Customer Service skills.
  • Demonstrated problem solving skills.
  • Demonstrated excellent organizational skills and attention to detail
  • Demonstrated ability to multi task and prioritize workload.
  • At least two years Administrative Assistant, Medical Assistant, CNA, or similar experience preferred

 

Essential Job Duties:

  • Answer all incoming calls within four rings and offer to transfer the call to the required extension or voice mail, as appropriate.
  • Greet and register visitors, provide directions, answer questions, monitor lobby security, and provide access to the SCR. 
  • Understand the importance of confidentiality and comply with all HIPAA regulations.
  • Prepare new resident files for IL.
  • Input and update resident information into Vision.
  • Print out Annual Updates and set up AU appointments for DRHS.
  • Log and track Residential Healthcare billable hours and send monthly statement to Accounting.
  • Oversee routine maintenance of Wellness clinic equipment and supplies as well as order and restock supplies from Purchasing. 
  • Place and track maintenance request work orders for Wellness Clinic.
  • Communicate with IHC Coordinator and staff as needed about any changes/problems that occur.
  • Maintain communication with residents regarding scheduling matters, changes in hours or staffing, and ensure the timely arrival of IHC staff when needed.
  • Report any concerns, problems, or complaints concerning clients to IHC Coordinator and Director as appropriate.
  • Prepare monthly total hours and census report and emails it to the Director and IHC Coordinator when needed. 
  • Interact with visitors, residents, and staff in a courteous and efficient manner.
  • Project a professional image by dressing appropriately and complying with Casa dress code.
  • Provide clerical assistance to Director as assigned. 
  • Attend mandatory staff meetings.
  • Take minutes at monthly staff meetings, then post copy into Minutes Book in the Wellness Clinic or In Home Care office.
  • Prepare letters, memos, minutes, emails and reports consistent with Casa’s standards.
  • Report any concerns or complaints regarding clients or staff to Director and recommend solutions.
  • Prioritize and manage time effectively. 
  • Maintain flexibility in his/her approach to daily tasks and activities.
  • Encourage effective relations among staff in support of building a cohesive team and work hand in hand with the DRHS.
  • Generate monthly department billing reports and other reports as necessary.
  • Perform any other relevant duties or tasks as assigned or requested by DRHS or IHC Coordinator.

 

Schedule:

Full Time, Monday - Friday 8:00 am - 4:30 pm

 

Rate of Pay

Starting at $18.00/hour

All Employees must be able to pass background checks (fitness for duty physical, fingerprinting, employment references) as required by a licensed residential care facility. Some of the roles in our community require that we ask about your COVID-19 vaccination status.
