Under the general direction of the Student Learning Administrative Manager, this position provides administrative and secretarial support to students, faculty, and the deans for Student Learning. This position will support office operations, keep calendars, make travel arrangements, and assist with the day-to-day operations of the area.
As the Part-Time Hourly Administrative Assistant for Student Learning, it is expected that the following qualities will be demonstrated daily: a high degree of understanding and empathy for all students, faculty, staff and visitors, as well as the ability to encourage the inclusion of all voices in decision-making, promoting equity in all areas, and actively working against institutionalized norms of oppression against historically marginalized people.
Employee Type: Part-Time Hourly
Salary: $19.59 per hour, up to 16 hours per week
Supervising Position: Director of Student Learning: Curriculum, Scheduling, ctcLink Operations
Essential Duties
- Maintain records and files; use spreadsheet and database software to maintain records; use the ctcLink system (PeopleSoft) to run prepared reports and inquiries while maintaining confidentiality
- Assist the Deans in handling confidential information regarding student inquiries, grade appeals, complaints, and petitions; assist in completing appropriate processes in accordance with college policies
- Schedule meetings with internal and external clients
- Monitor budgets, arrange travel, and prepare and submit related paperwork
- Take notes for meetings and committees as needed
- Assist and support other Student Learning staff and faculty as needed
- Perform other duties as assigned
Education and Experience
Minimum Qualifications
- High school diploma or equivalent
- Some experience in office/clerical, secretarial, bookkeeping, accounting, general administrative work or equivalent
- Proficiency with Microsoft software products: Outlook, Word, Excel, PowerPoint
- Demonstrated commitment to equity and inclusion and the ability to support a diverse workplace and educational environment
Preferred Qualifications
- Associate degree
- Experience working in a higher education setting
- Experiencing using PeopleSoft or other student or course management system
Physical Work Environment
- Position in this class typically require operating a computer, communicating, observing, and repetitive motions.
- Semi-Sedentary Work: Involves staying in a stationary position to a significant degree. Jobs are sedentary if moving is required only occasionally and all other sedentary criteria are met.
- Work is performed in person at the Cascadia College campus
- Exerting between 10-30 pounds of force occasionally and/or a negligible amount of force frequently to transport, put, install, remove, or otherwise move objects, with or without reasonable accommodation.

Temporary hourly employees are exempt from civil service rules and regulations. Employees who work for the college on an as-needed basis are paid an hourly wage for work performed in specific assignments. These positions are typically not eligible for benefits. This is a part-time, temporary position scheduled to work up to 16 hours a week, not to exceed 1050 hours per year or 12 months employment, whichever comes first.
