Position Overview
Under the general direction of the Academic Advisor/Running Start Specialist, the Program Coordinator Student Success Services performs a wide variety of tasks in support of the Student Advising and Success Services office including: coordinating the Running Start Program and Veterans Affairs (VA) funding programs for veterans and their dependents enrolled at Cascadia. The Program Coordinator will provide direct customer service to students, staff, and/or faculty communicating detailed program information regarding the Running Start program and VA benefits to internal and external stakeholders on an individual or group basis. This position will review and process applications and generate reports for both programs. This position will certify veterans benefits. This position will monitor and triage departmental email inboxes and phones. This position may support other areas of Student Success Services, such as Student Accessibility Services, Admissions/Outreach and Enrollment Services.

Employee Type: Full Time Classified, Permanent position.
Initial Salary: $3,477.00 - 3,910.00 Monthly DOE 5% King County Premium Pay (KCPP)
Supervising Position: Academic Advisor / Running Start Specialist
Essential Duties
Essential Duties & Responsibilities:
Running Start
- Determine student eligibility for Running Start by applying knowledge of college and state policies.
- File and maintain student records related to the programs.
- Process and track incoming documents (Tuition Waiver forms, Transcript Evaluation forms, Running Start Application and Verification forms.)
- Provide follow-up to students who do not have complete files.
- Update and amend student records in CTCLink, Navigate360 and related databases.
- Maintain the confidentiality of student records.
- Update program databases, webpages and forms.
- Perform administrative support duties within the programs.
- Copy, fax and email documents; receive and process incoming forms.
- Coordinate running Start program activities including: information sessions, scholarships for textbook for eligible student, etc.
- Participate in ongoing training related to Running Start program duties.
Veteran Services
- Determine student eligibility for VA Funding programs by applying knowledge of college, federal and state policies.
- Certify students eligible for VA benefits in Enrollment Manager.
- Serve as the colleges School Certifying Official.
- File and maintain student records related to the programs.
- Process and track incoming documents (DD-214, Certificates of Eligibility, Transcript Evaluation forms and Verification forms.)
- Provide follow-up to students who do not have complete files.
- Coordinate with credentials evaluator to establish prior learning credits.
- Coordinate with academic advisors to determine program eligibility.
- Update and amend student records in college and federal databases such as Enrollment Manager, CTCLink, etc.
- Maintain the confidentiality of student records.
- Update information on program databases, webpages and forms.
- Perform administrative support duties within the program.
- Copy, fax and email documents; receive and process incoming forms.
- Coordinate and assist VA Benefits program activities including VA Orientations for new students in person or online.
- Participate in ongoing training related to VA School Certifying Official duties.
Academic Advising
- Review and triage departmental email inboxes including academic advising
- Create and manage advising appointments in Navigate360
- Assign math, English and other subject placements based on college placement guide
Customer Support
Running Start & Veteran Services
- Understand and independently articulate general program eligibility requirements, the application process, status and timelines to students.
- Serve as the primary contact to program participants and school district contacts.
- Respond to telephone, electronic, and in-person inquiries about the programs.
- Maintain timely correspondence with internal and external stakeholders.
Reporting
Running Start
- Prepare and send monthly reports to high schools and school districts.
- Prepare and send quarterly grade reports to the high schools.
- Send quarterly billing report to Finance.
- Revise reports as needed.
Veteran Services
- Report student academic progress to VA including grades, enrollment status and satisfactory academic progress. Submit amendments and adjustments in Enrollment Manager.
- Maintain VA files according to VA requirements.
- Prepare for VA audits as necessary.
- Approve Vocational Rehabilitation invoices in Tungsten and contact Finance for confirmation
- Contact UWB Parking and Bookstore with vouchers for Vocational Rehabilitation eligible students
- Work with Finance department to validate payments from the VA and which student accounts to apply the payment to ctcLink
- Revise reports as needed.
Education and Experience:
Minimum Qualifications
- High school diploma or equivalent.
- One year of experience in administrative support, customer service or equivalent.
- Demonstrated commitment to diversity, equity and inclusion in an educational environment.
- Proficiency with Microsoft software products: Outlook, Word, Excel.
Preferred Qualifications
- An Associate s degree.
- Experience coordinating programs for veterans, high school age individuals and/or other student services in higher education or equivalent.
- Experience working in CTCLink or similar Student Information System.
- Experience with Navigate360 or similar Student Success System.
- Experience using Enrollment Manager, Tungsten or similar state or federal software.
- Demonstrated strong detail and organizational skills with ability to effectively multi-task and prioritize.
- Successful experience working with confidential information.
Physical Work Environment
Semi-Sedentary Work: Involves staying in a stationary position to a significant degree. Jobs are sedentary if moving is required only occasionally and all other sedentary criteria are met.
The College is currently in hybrid operations, with many assignments completed in an online environment during this time. Full-time employees are expected to be on-campus at least three (3) days per week with the option to work remotely for the remainder of their working days. Employees will need to provide their own remote workspace and internet access, noting the College will provide technical equipment and support for online work needs. During on-campus operations, this position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus and requires the ability to communicate in person or through appropriate means.
Positions in this class typically require operating a computer, communicating, observing, and repetitive motions.
This position involves exerting between 10-30 pounds of force occasionally and/or a negligible amount of force frequently to transport, put, install, remove, or otherwise move objects, with or without reasonable accommodation.
